To monitor project profitability in Clockify, configure billable and cost rates, record all project time—including non-billable work—and review a project-filtered report showing amount, cost, and profit. Use estimates to spot effort overruns and, for fixed-fee projects, a monetary budget to track spend against the fee.
What Clockify’s profit figure tells you
Clockify describes project profit as the difference between billable amount and cost. Its reports can display all three values, and profit can be negative when costs exceed income. Cost rates must be enabled and configured for the cost and profit figures to be useful. Clockify’s cost and profit help page explains the report fields.
Treat this as a view of the revenue and costs represented by your Clockify setup, not automatically as full accounting net profit. The documented calculation does not establish that every overhead, tax, financing charge, or other expense is included.
Set up a project for meaningful tracking
Organize clients, projects, and tasks
Create or confirm the client, project, and tasks before tracking begins. Ask team members to assign each time entry to the correct project and a specific task. Tags can help distinguish work categories, such as project management, when that detail matters to your analysis. Clockify’s project profitability setup guide recommends accurate project and task assignment.

Enable billable and cost rates
Enable billable hours in Workspace settings if you need billable amounts. Then enable cost rates in the Cost and profit analysis settings area and set rates that represent the labor cost you want to monitor. Clockify says cost rates apply to entries whether or not they are billable; rates can be set to zero or adjusted by project or user. See Clockify’s cost and profit documentation.
Check the rate applied to the work rather than assuming the project default is in effect. Clockify documents that a task rate overrides the project’s default billable rate, and a project member’s rate overrides the task rate. Its project rates guidance describes this precedence.

Choose an estimate, a budget, or both
For effort monitoring, set a manual project estimate or estimates for individual tasks. Estimates let you compare planned hours with tracked time; project status and the Summary Report can show estimate-versus-actual progress. Clockify’s estimates guide covers the setup.

For fixed-fee work, also consider a monetary project budget. Clockify says budgets can be manual or task-based, and project status shows the amount spent and remaining. Alerts can notify you as a project approaches overspending. Budgets may be set to reset weekly, monthly, or yearly, which is useful for recurring work when the reset period matches the engagement. Track the work that affects profitability
Record billable and non-billable time consistently and assign it to the right project and task. Administration, rework, meetings, and client communication can consume labor cost even if the client is not charged for those hours. Clockify’s guidance is explicit: “To get a true picture of project profitability, you should track all work even the work you don’t charge for.” Clockify Help: Billing tracked time.
You can also record project or task expenses. Clockify describes expense tracking as a Pro or Enterprise feature; billable expenses can be included in budget progress and alerts when that setting is enabled. Verify that the expenses relevant to your project are entered and that the budget setting reflects whether they should count. Clockify’s expense tracking help explains the feature.

Review profitability in a project-filtered report
- Open Reports and select Summary Report.
- Filter the report to the project you want to evaluate and choose the date range that matches your review.
- Enable Show Amount, Show Cost, and Show Profit.
- Compare the report with the project estimate or budget. If a total looks unexpected, inspect task-level or individual time-entry detail and verify the rates, assignments, and expenses behind it.
The Summary Report is suited to totals across dates, projects, and users. For individual time-entry cost and profit, use the Detailed Report. Clockify’s cost and profit help page describes both report views.

- Billable amount: the billable revenue represented by tracked entries. For fixed-fee work, this may not move in step with hours, so consider the project budget alongside it.
- Cost: the labor cost calculated from configured cost rates. Because cost rates apply to billable and non-billable entries, complete time tracking matters.
- Profit: billable amount minus the configured cost amount—not necessarily every cost your business incurs.
- Estimate variance: tracked time compared with planned hours or task estimates. It helps identify effort overruns, even when revenue is fixed.
- Budget consumption: the amount spent and remaining relative to the monetary budget. Confirm whether billable expenses are included if they are relevant.
- Report detail: use the Summary Report for project totals and the Detailed Report to investigate specific entries.
Export and share reports carefully
Clockify’s help documentation describes PDF export on Free and CSV/Excel export on Basic or higher. Exported fields depend on the report and can include project, client, task, user, time, billable status, rate, amount, and currency. Check workspace permissions before sharing financial information: visibility of budgets and estimates depends on workspace settings and roles. Feature availability and interface labels can change. The Clockify help pages cited here list cost rates and project budgets as Pro or Enterprise features, and billable rates and estimates as paid features; the project setup page specifies Basic or higher for billable rates and estimates. Confirm current plan details and access in your workspace before relying on a feature.
