To set up Clockify Activity Monitoring for a team, an administrator must enable it in Workspace settings, configure monitoring options, install the desktop agent, assign each agent to a member, and classify detected apps and websites. Activity Monitoring requires the Pro plan or above, and its documented interface is for desktop or laptop use—not mobile.
Check plan eligibility and choose who can access Activity Monitoring
Clockify’s setup guide lists Pro plan and above as the requirement. Use a desktop or laptop: the Activity Monitoring interface is not currently supported on mobile. An administrator or workspace owner must enable the feature and set access before configuring it. Team managers can use it only if an administrator grants them access.
- In Clockify, open Workspace settings and enable Activity Monitoring.
- Open the Permissions tab and choose access for admins only or for admins and team managers.
Clockify’s guide identifies admins and workspace owners as eligible roles, along with team managers who have been granted access by an admin. See the Clockify Activity Monitoring setup guide for the current instructions.
Set the inactivity threshold and screenshot options
Open Monitoring > General settings to configure how the workspace records activity.

Choose an inactivity threshold
Set the threshold from 1 to 30 minutes. This is a workspace configuration choice; Clockify’s guide does not prescribe a particular value.
Decide whether to capture screenshots
Screenshots are optional. If you enable them, choose a capture interval from 30 seconds to 30 minutes. Screenshot blur is enabled by default; turn it off only if you intend captures to be clear. The setup guide describes these controls but does not recommend a privacy policy or a specific capture interval, so make the decision deliberately for your team.

Choose which apps and websites count as productive
In the monitoring settings, select the types of apps and websites that count as productive time. You will also classify detected apps and sites after agents begin collecting activity. Those new entries start as Undefined, so they do not yet have a Productive, Neutral, or Unproductive classification.
Install the desktop agent
Team members must already be in the workspace before you distribute the installer. Clockify documents a link-based installation flow for members and a separate path for an administrator’s own tracking.

Send an installation link to team members
- Go to Agent apps > Install Agent app.
- Copy the installation link and send it to the team members who need the agent.
- Use the relevant Mac or Windows instructions on the installation page.
Install an agent for your own tracking
For an administrator’s own device, open Monitoring > Agent apps > Install agent app, then follow the Mac or Windows instructions. The setup page also provides a copy-link option.

Newly installed agents appear as Unassigned. In Monitoring > Agent apps, select the appropriate person in the Member column. Do this promptly: Clockify says activity collected while an agent is unassigned remains in the database, but is not retroactively linked to the user upon initial assignment.
Classify detected activity
Open Monitoring > Productivity to review detected apps and websites. Classify each as Productive, Neutral, or Unproductive. Clockify suggests domain rules for catch-all classification; its guide gives *.google.com as an example. Review the detected entries and rules so classifications reflect how your team intends to measure utilization.
