Build the comparison around a representative project and the people who will use it. A tool that looks inexpensive or flexible in isolation may not fit once you account for the required plan, administration, training, and integrations.

What do Asana alternatives cost?
Prices and plan limits change, and a starting figure is not a like-for-like quote. How to move from Asana without losing important work
- Inventory what you rely on. List representative projects, task fields, dependencies, recurring tasks, attachments, comments, templates, and reports. Note the integrations and permission rules that must continue working.
- Check the import path. Confirm what the finalist can import from Asana, which data types transfer, and what must be recreated manually. Do not assume that a task import preserves relationships, history, or permissions.
- Map roles and access. Translate teams, guests, project visibility, and administrative responsibilities into the new permission model. Test access with a regular member and an external collaborator if either uses the current workspace.
- Rebuild a representative workflow. Set up a typical project, including recurring work, dependencies, views, approvals, and reporting. This exposes configuration and training needs that a feature checklist may miss.
- Pilot before switching the whole team. Run the same real workflow in two or three finalists with the people who will use them. Compare usability, reporting, integration behavior, and total cost at your actual seat count.
- Set a cutover plan. Decide when the new workspace becomes authoritative, who resolves import issues, and how the team will find any material that cannot be migrated. Keep access to the old workspace until the transfer has been checked.
A practical selection rule
Start with the reason Asana no longer fits, then test two or three tools against the same representative project. Choose the one that supports the required workflow, reporting, collaboration, and access controls at a total cost your team can accept—not the one with the longest feature list or the lowest headline price.
