To show a formula result in an Excel text box, select the text box, type = in the formula bar, select the cell that holds the result, and press Enter. The text box then shows that cell’s contents and refreshes whenever the cell changes.
Before you start: put the result in a cell
A text box can only display what a cell contains, so the formula has to live in a worksheet cell first. Enter the formula, confirm the cell shows the value you want, and note its address. If the result needs a label, currency symbol, or date format, build that text in a separate helper cell (see the section on formatting below).
Steps to link a text box to a formula result
- Go to Insert > Text Box on the Ribbon, then drag on the worksheet to draw the box.
- Click the border of the text box so the box itself is selected, not the text inside it.
- Click in the formula bar, type
=, and then click the cell that contains the result. You can also type the reference directly, for example=Sheet1!F2. - Press Enter. The contents of the cell appear in the text box.
- Change a value that feeds the formula and check that the text box updates. It does, because the box is linked to the cell rather than holding a copy of the number.
Microsoft’s support article describes this behavior in one sentence: “The contents of the cell appear in the shape or text box that you selected.”

The text box shows the cell’s displayed contents, so formatting that makes a result readable belongs in the cell, not the box. Two common approaches:

- Combine text with the value using
&. In a helper cell, enter="Total: "&TEXT(B5,"$#,##0.00"). Link the text box to that helper cell, and it will read something like “Total: $125.00”. - Control dates and numbers with
TEXT. For a date,=TEXT(A2,"mmmm d, yyyy")gives a fixed display string that the text box can show as-is.
Once the helper cell holds the finished string, link the text box to it instead of the original calculation. The helper cell can sit on a hidden or out-of-the-way part of the sheet if you do not want it visible.

Limits to know
- Use the formula bar. Typing
=B5*2as ordinary text inside the box creates static text, not a link. The link is made only through the formula bar with the box selected. - Only text boxes and worksheet shapes take this link. Microsoft’s instructions for worksheet shapes and text boxes do not extend to scribble, line, or connector shapes, so do not expect those to accept a cell link this way.
- Menus may differ by version. Microsoft’s procedure is documented for Excel for Microsoft 365, Excel 2024, and Excel 2021. Other builds, including older versions and Excel for the web, may label menus differently, so check your own Ribbon before following the steps exactly.
Troubleshooting
- The box shows a static sentence instead of the result. The link was probably never created. Select the box border again and re-enter the reference in the formula bar.
- The box shows the wrong formatting. The box displays the cell’s formatted contents. Change the number format of the source cell, or move the display formatting into a helper cell using
TEXT. - The box is empty. The linked cell is blank, or the formula returns an empty string. Check the cell itself.
