The desk upgrades that matter are the ones that fix a specific mismatch between you and your workstation. Adjust the chair, screen, keyboard, and light you already have first, then buy something only when a problem remains. OSHA’s Computer Workstations eTool makes the core point directly: “There is no single ‘correct’ posture or arrangement of components that will fit everyone.” (OSHA, Computer Workstations) That is why this guide organizes the eleven upgrades by the problem each one solves, for both desktop and laptop users.
Adjust what you already own first
Work through these checks before you spend anything. Each one tells you whether a purchase would solve a real problem.
- Set the chair. The Canadian Centre for Occupational Health and Safety (CCOHS) identifies three contact areas for office work: the seat, the work surface, and the floor. It states that two of these factors need to be adjustable for a comfortable posture. Start with the seat height, backrest, and armrests, following the CCOHS guide to adjusting office chairs.
- Check the screen distance and height. You should be able to look forward without tilting your head, with the top of the monitor at or just below eye level. OSHA’s purchasing guide recommends a monitor distance of at least 20 inches from the eyes.
- Check keyboard and mouse reach. Keep both in front of you, within easy reach. CCOHS advises elbows at approximately 90 degrees (between 90 and 110 degrees) while typing, per its keyboard selection and use page.
- Check your feet. Can they rest flat on the floor or a stable surface? If not, adjust the chair and desk first and only then consider a footrest.
- Check the light. Look for glare on the screen and for shadows over paperwork. Separate task lighting may be needed for reading, while general computer work usually needs less light.
- Check how long you stay in one position. Changing posture often matters more than any single piece of equipment.
Match each mismatch to an upgrade
Use this table to pick the upgrade that fits the problem you actually have. Each row points to a section below.

Seating and posture upgrades
1. An adjustable office chair that fits
A chair earns its place when your current seat cannot be adjusted to fit you. Prioritize seat height and tilt, back support, stability, casters suited to your floor, and armrests that do not block you from getting close to the desk. OSHA’s purchasing guide recommends trying a chair for comfort and fit over an extended period rather than judging it in a showroom, and CCOHS stresses that there is no “average” person, so no single model is right for everyone. Treat any chair as a candidate to test, not a guaranteed fit.

2. A footrest, if your feet need one
OSHA recommends a footrest when your feet cannot rest flat because keyboard and monitor adjustments are not enough to fix the problem, as described in its evaluation checklist. CCOHS also describes an adjustable chair with a footrest as a lower-cost solution in some fixed-desk situations. A footrest is a conditional fit tool. It is not standard equipment, and you should not add one simply because it is available.
3. A sit-stand desk or desk converter
A sit-stand desk is worth considering if you want to vary between sitting and standing and can set up your keyboard, mouse, and monitor correctly at both heights. CCOHS notes the cost and cautions that standing for long periods can cause problems, so its guidance is to alternate positions as needed rather than stand all day. OSHA’s purchasing guide gives keyboard-height ranges of 22 to 30 inches for seated use and 36 to 46.5 inches for standing use. These are workstation checklist values, not outcome statistics, and they are a reason to test the desk’s adjustment range before you buy.

4. A posture-change routine
This upgrade costs nothing. OSHA’s evaluation checklist advises varying your posture and avoiding prolonged sitting or standing. CCOHS says that recommendations for how long to sit or stand vary, and that the key is to alternate as needed. Use a break reminder if it helps you move, but do not treat a rigid timer as a medical prescription.

5. A monitor stand or adjustable monitor arm
Start with placement: the screen should be far enough away for comfortable viewing and high enough that you can look forward without tilting your head. OSHA’s purchasing guide recommends at least 20 inches from the eyes, and its overview places the top of the monitor at or just below eye level as a general goal. A stand or arm is one way to reach that position, not a required purchase. If you can get there with books under the monitor or by moving the desk, you may not need one. 6. A separate keyboard and pointing device for laptops
If a laptop is your main computer, OSHA’s evaluation checklist recommends a separate keyboard and input device. Arrange them so your shoulders stay relaxed, your elbows stay close to your body, and your wrists line up with your forearms. Raising the laptop screen to a proper viewing height while keeping the keyboard low is the usual conflict, and a separate keyboard and pointing device resolves it. The guidance supports separate peripherals; it does not establish that mechanical, split, or other specialty designs work best for everyone.
7. A keyboard tray, if the desktop is too high
OSHA’s purchasing guide notes that a fixed-height desk may need a keyboard tray to provide adequate height adjustment. Before buying one, confirm that it has enough room for both the keyboard and the mouse. A tray that is too cramped forces you to reach, which defeats the purpose.

Light, paper, and calls
8. An adjustable task lamp
OSHA’s evaluation checklist calls for adjustable lighting: brighter task lighting for paperwork and lower light for general computer work. Its purchasing guide describes task lights with adjustable supports and directed light. Buy a lamp to fix a lighting mismatch, such as paperwork that is hard to read or glare from a fixed overhead light. It is not a documented way to prevent eye disease or to raise output, so do not choose one for those reasons.
9. A document holder for frequent paper reference
If you often type from paper, a stable adjustable holder can place the page close to the monitor at a similar height and distance. OSHA says an appropriately positioned holder may reduce risk factors such as awkward head and neck posture, fatigue, headaches, and eye strain. The word “may” matters here: the holder helps when you actually copy from paper, and most desks do not need one.

10. A headset for calls and computer work at the same time
OSHA’s checklist notes that when you use the phone and the computer at the same time, a headset may be needed so you can keep your head upright and your shoulders relaxed. This upgrade applies only if your work regularly involves that combination. If you rarely take calls while typing, skip it.
The work surface
11. Clearer legroom and a more usable desk surface
Before replacing a desk, clear stored items from underneath it, keep the keyboard, mouse, and monitor within easy reach, and check that the surface is deep enough for the monitor distance OSHA recommends. OSHA also recommends a matte finish to reduce glare and advises avoiding sharp leading edges. Replace the desk only when the current surface prevents a workable arrangement. Cable management is a reasonable tidying step, but the official guidance does not support describing it as an ergonomic benefit, so treat it as housekeeping.

What this guidance does and does not establish
The advice here comes from OSHA and CCOHS workstation guidance. It is not based on clinical trials comparing desk products, and it does not show that any upgrade improves health or productivity for everyone. OSHA states that its eTools do not create new OSHA requirements. Treat the numbers as checklist recommendations, and use the guidance as a framework for your own setup rather than as an individual medical assessment. If you have pain or symptoms that persist, a qualified health professional is the right person to ask.
