Six Obsidian plugins—Importer, Wikipedia Helper, Excalidraw, Tasks, Kanban and QuickAdd—allowed How-To Geek author David Buck to remove several separate productivity apps from his personal setup. His experience, published October 15, 2026, is a use-case report rather than proof that Obsidian replaces every specialist tool. The practical question is whether keeping work as local Markdown in one vault matters more to you than dedicated reminders, collaboration, diagramming or automation.

“These plugins made me drop a few of my own productivity apps.” — David Buck, How-To Geek author

What each plugin replaces

Plugin Primary role Separate app Buck says it reduced or replaced Best fit
Importer Move existing notes into an Obsidian vault Another notes app during migration Anyone evaluating Obsidian without abandoning old data first
Wikipedia Helper Look up Wikipedia from the research workflow Repeated browser-window switching Researchers who want references beside their notes
Excalidraw Sketch diagrams and visual plans draw.io for Buck’s website flows and creative planning Visual thinkers who need drawings stored with notes
Tasks Task lines with dates, reminders and statuses Todoist in Buck’s reported workflow People who want task metadata in Markdown notes
Kanban Move work through visual stages A separate board view for planning Projects that benefit from columns rather than only lists
QuickAdd Fast capture, templates and automation Tasker-style shortcuts and repetitive actions Users willing to configure commands as workflows mature

The stack is modular: Importer gets data in, Wikipedia Helper keeps research in context, Excalidraw handles visual work, Tasks stores structured task details, Kanban supplies a stage board, and QuickAdd automates capture.

1. Importer lowers the cost of switching

Importer is an official community plugin made by the Obsidian team. Its repository documents conversion from Apple Notes, OneNote, Evernote, Notion, Google Keep, HTML and CSV into plain-text Markdown files for an Obsidian vault. Import templates can modify imported titles, properties and content.

Conversion quality and setup vary by source, so check a sample of attachments, formatting, links and metadata rather than assuming perfect fidelity. Keep the original export until the migrated vault is verified.

2. Wikipedia Helper removes a research detour

Buck used Wikipedia Helper instead of opening a separate browser window for Wikipedia searches while researching. Its value is convenience and fewer context switches: the lookup happens closer to the notes where you are recording findings.

3. Excalidraw keeps diagrams beside the notes

Buck moved much of his website-flow and creative-planning diagramming from draw.io to Excalidraw inside Obsidian. The community listing documents PNG and SVG export, while the drawings remain available on desktop and mobile with the rest of the vault.

A dedicated diagramming product may still be preferable for formal notation, large structured diagrams, advanced layout, or team review. Decide whether you need quick drawing and export or a full diagram-management system before replacing one.

4. Tasks puts task metadata in Markdown

Buck reports using Tasks to track tasks across his vault, assign due dates and reminders, and change statuses with a command. He contrasts that workflow with Todoist. The account describes his setup, not a complete feature matrix, so test the exact recurrence, notification and mobile behavior you require.

When Tasks is a good replacement

  • You want tasks to remain text files that you own and can search with your notes.
  • You prefer project context, meeting notes and action items in the same vault.
  • Your work is mostly personal and does not require a shared task database.

When to keep a dedicated task service

  • Reliable push reminders, complex recurring schedules or fast capture are non-negotiable.
  • You need assignments, comments, permissions or a shared team workspace.
  • You depend on polished cross-device behavior that you have not yet tested in your vault.

5. Kanban adds a visual planning layer

The Kanban community plugin provides a board where cards move through stages of completion. Buck combines it with Tasks to plan a YouTube channel: Tasks supplies task details, while Kanban supplies the visual “to do, doing, done” view.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That combination is useful when a list hides workflow state. It does not, on the evidence available here, establish team collaboration, synchronization guarantees or advanced reporting. Use it for a portable personal board, and choose a shared workspace when several people must edit, assign and audit the same project.

6. QuickAdd turns repeated actions into commands

The official QuickAdd guide describes commands triggered by a hotkey for creating a note from a template, capturing a line, or running a script. Its documented choices include templates, captures, macros, script/API actions, an AI-assistant workflow and Kanban-card creation; it supports desktop and mobile. Buck compares it with Tasker for fast note creation, switching notes and shortcut-driven routines.

A safer way to build automation

  1. Start with one capture choice, such as adding a dated line to a daily note.
  2. Add a template choice when the note structure is stable.
  3. Combine actions into a macro only after each individual command works.
  4. Use scripts or API calls for genuinely repeatable operations, and document what they change.
  5. Test hotkeys and mobile behavior separately; a desktop shortcut is not automatically an equivalent mobile trigger.

QuickAdd can replace simple repetitive actions, but setup and maintenance increase with every macro and script. If you need triggers from other applications or system-wide automation, a dedicated automation tool may still be the better boundary.

How the six fit together

Decision area Obsidian stack’s answer Question to settle before deleting another app
Migration Importer converts supported sources to Markdown Does your export preserve the attachments, links and properties you need?
Research Wikipedia Helper reduces browser switching Is convenience enough, or do you need a broader research database?
Visual work Excalidraw offers in-vault drawings and PNG/SVG export Do you require formal notation, layout controls or team review?
Tasks Tasks keeps dates, reminders and statuses with notes Are notifications, recurrence and mobile capture dependable for your routine?
Planning Kanban shows stages; Tasks stores details Is the board personal, or must it support shared editing and reporting?
Automation QuickAdd provides templates, captures, macros and scripts Will simple commands suffice, or do you need external system triggers?
Ownership Notes and many workflows remain local Markdown Have you tested sync, backup and recovery across every device?

A practical replacement checklist

  1. Install one plugin for one pain point instead of importing an entire productivity system at once.
  2. Migrate a representative sample with Importer and inspect the result.
  3. Run a week of real tasks, reminders and mobile captures before cancelling the old service.
  4. Export a drawing and reopen it on each device you use.
  5. Build a minimal QuickAdd capture, then add automation only when the manual workflow is reliable.
  6. Keep backups and a rollback copy of your original notes.

Buck’s result is best understood as a modular consolidation: fewer context switches and fewer separate databases, traded against the setup, maintenance and feature depth of specialist apps. Your decision should follow portability, reminders, collaboration, export and mobile requirements—not the plugin count.
