Evaluate the complete monthly-close workflow rather than counting whether a product has a “bank feeds” or “reconcile” button. A tool with excellent imports but weak exception handling can create more review work than it removes.

What should you test before subscribing?
Use a real but controlled sample during a free trial. A feature checklist cannot show whether the product handles the exceptions that consume time during a monthly close.
Prepare a realistic test set
- One recent checking-account statement and one recent credit-card statement.
- A list of recurring subscriptions and ordinary expenses.
- At least one transfer between two accounts.
- A merchant-processing deposit containing gross sales and a fee.
- A refund or chargeback.
- A bank fee or interest transaction.
- An outstanding check or deposit in transit.
Run the trial
- Connect the primary bank account and confirm the correct account type.
- Confirm the opening balance before accepting imported transactions.
- Download a recent period and match ordinary deposits and expenses.
- Test a transfer between two connected accounts. The transfer should not become income in one account and an expense in the other.

Software can organize evidence and reduce repetitive work, but software cannot decide whether an unfamiliar transaction is a transfer, a personal purchase, a business expense, a refund, or an error without adequate source information.
Transfers between accounts
A transfer between two connected accounts should normally be matched as a transfer. Recording the same movement as income in the receiving account and an expense in the sending account overstates business activity and can distort reports.
Credit-card payments
A credit-card payment commonly appears as money leaving checking and a reduction of the credit-card liability. Treating the payment itself as an expense can double-count purchases that were already recorded when the card was used.
Merchant fees and net deposits
Payment processors can deposit a net amount while the accounting records need to show gross sales and a separate processing fee. The reconciliation workflow should support split transactions or a clearing account.
Outstanding checks and deposits in transit
A check recorded in the ledger may not have cleared by the statement date, and a deposit recorded in the books may not have posted to the bank. Those timing differences can be legitimate; they should be documented rather than eliminated with an arbitrary adjustment.

Personal transactions can appear in a sole proprietor’s business account. The correct treatment may be an owner draw or owner contribution rather than an ordinary operating expense, depending on the transaction and tax advice.
Historical discrepancies
When a discrepancy comes from an earlier period, identify the first period where the difference appeared. Then check deleted, edited, duplicated, and unreconciled transactions, review opening balances and prior reconciliation reports, correct the source transaction, and reconcile again.
Use an adjusting entry only when the underlying cause is known and documented. - Does the institution connect reliably through the product’s aggregation provider?
- Are checking, savings, credit-card, loan, and other required account types supported?
- How far back can transactions be imported?
- What happens after a bank changes its security process or requires multifactor authentication?
- Can the product import CSV, OFX, QBO, or another statement format when the feed fails?
- Can duplicate or delayed downloads be identified and removed safely?
- Can a mistaken reconciliation be undone without damaging later periods?
- Does the product support a closing date or period lock?
- Can an accountant access the file without consuming a paid seat?
- Are payroll, inventory, sales tax, payment processing, receipt capture, and additional entities included or separately charged?
- Are displayed prices promotional, standard, monthly, annual, before tax, or dependent on a limited-time offer?

Small-business accounting suites should not be ranked as interchangeable with enterprise close-management platforms. A company with multiple entities, formal monthly-close procedures, consolidation, intercompany activity, or large review teams may need centralized client or entity management, statement ingestion, exception queues, role-based controls, consolidation, and intercompany reconciliation.
