Small businesses do not all need the same technology. Start with the recurring task or risk you need to manage—such as tracking cash, coordinating staff, taking card payments, or protecting customer data—then choose tools that fit your workflow, team, and budget. For most businesses, the key categories to assess are bookkeeping, communication and collaboration, payment acceptance when relevant, suitable hardware, and security with reliable backups.
The guidance below is primarily U.S.-oriented. Tax, privacy, payment, and security requirements can differ by location and industry.
1. Bookkeeping and accounting software
Choose a bookkeeping system that can handle the work your business actually performs. The U.S. Small Business Administration identifies accounts receivable, accounts payable, available cash, bank reconciliation, and payroll as core financial-management functions. Not every business needs payroll in its accounting software, and software is not the only option: an owner may use a bookkeeper, CPA, or a combination of professional help and software. See the SBA’s guidance on managing business finances.

Before choosing a product, map the tasks and reports you need. Compare the ongoing cost, security, accessibility, integrations, ability to scale, and how you would move existing records into it. A September 25, 2026, SBA-hosted SCORE event also highlighted cost, scalability, reporting, security, accessibility, data migration, and integration as selection factors; it does not establish that one product is best for every business. See the SBA event listing.

- List the transactions and reporting you need to handle routinely.
- Check that the system works with your bank and other business tools.
- Plan how records will be migrated and who will maintain them.
- Decide whether software alone is sufficient or professional bookkeeping or accounting support is also needed.
2. Business email, file storage, and collaboration
Email, shared storage, calendars, and collaboration tools can help a team communicate and work together, including when staff work in different locations. Evaluate them as an operating system for your team rather than as a bundle of features: check how they integrate with existing software, how accounts are administered, and whether shared files can be backed up.
Set permissions deliberately. Staff should have access to the information needed for their roles, not automatic access to every file. Review who can see and change shared documents, and remove access when responsibilities change. NIST’s small-business cybersecurity resources provide guidance on managing access and security practices.

3. Payment technology, if you accept cards
Payment technology is essential only if it matches how your customers buy. In-person card acceptance generally involves a payment processor or merchant account and may require equipment; online sales may use an online payment service and a shopping cart that handles totals, tax, shipping, and customer details. The SBA outlines these options in its business finance guidance and business launch guidance.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsFor in-person card payments, the SBA recommends an EMV chip reader. Verify that any reader is compatible with the payment provider you choose. Compare transaction and monthly fees, supported payment types, equipment costs, security features, and compatibility with your bank account and sales channels. Fees and equipment requirements vary, so review the provider’s current terms before committing.

4. Computers and peripherals that fit the work
Buy or lease hardware according to the tasks and software it must support, not a generic “business computer” label. The SBA’s hardware guide includes computers, servers, printers, portable storage, and telephony equipment; its examples are from 2019, so use its selection principles rather than treating it as a current product ranking. Read the SBA’s guide to business technology.
Check required features, processing capability, storage, software compatibility, mobility, support, and total purchase-versus-lease cost. A mobile service business may prioritize portability, while a business with fixed workstations may place more weight on peripherals and compatibility with the software staff use.

5. Security tools and backup routines
Security is not a single purchase. The FTC’s small-business guidance recommends keeping software updated, backing up important files regularly, using strong unique passwords, enabling multifactor authentication (MFA), encrypting sensitive data, securing wireless networks, training staff, and having an incident-response plan. It emphasizes that priorities depend on the business: “It is not a one-size-fits-all approach, but it includes an outline of best practices that can help you decide where to focus your time and money.” Read the FTC’s small-business cybersecurity guidance.
Use MFA wherever it is available, especially for accounts that control email, financial records, or business administration. A password manager can help staff maintain unique passwords, but it does not replace MFA, updates, staff training, or access controls.

Make backups usable, not merely available
Keep regular copies of important files in a cloud service or on an external hard drive. A disconnected or offline copy can add resilience against ransomware. Check that the backup covers the records you need and that you can restore files from it. If using an external drive, match its capacity and connection to your equipment.
Organize security work around the business
NIST CSF 2.0 groups cybersecurity work into six functions: Govern, Identify, Protect, Detect, Respond, and Recover. That framework can help an owner assign responsibility beyond buying tools: determine what information matters, protect accounts and systems, notice problems, and plan how to respond and restore operations. NIST’s small-business cybersecurity resources explain the framework and related practices.
How to choose without overbuying
Use the same decision sequence across categories: identify the task or risk, check how the tool fits existing systems, compare its full costs and controls, and decide who will administer it. The SBA’s technology and finance guidance supports weighing cost, integrations, security, accessibility, migration, scalability, and business requirements rather than selecting by popularity alone.

Quick Recap
- Define the need. Name the recurring task, bottleneck, or risk the tool should address.
- Set the requirements. Specify the people who will use it, the information it handles, and the systems it must work with.
- Compare relevant options. For accounting, assess tasks, reporting, migration, security, and scalability. For payments, assess fees, equipment, payment types, security, and compatibility. For hardware, assess performance, storage, software fit, portability, support, and purchase-versus-lease cost. For collaboration services, assess account controls, permissions, integrations, backup, and administration.
- Assign ownership. Decide who will manage accounts, permissions, updates, backups, or financial records.
- Review the fit as the business changes. Revisit the choice when workflows, staff, sales channels, or data sensitivity change.
