Microsoft Teams is easiest to manage when you understand five core features: chat, channels, meetings and calendar, file sharing, and search. Together they determine where conversations belong, who can access them, where files are stored, and how you retrieve information later.
1. Chat keeps quick coordination in one place
Use one-to-one and group chat for questions, decisions, and short updates that do not need a permanent project structure. A chat can include text, files, links, reactions, and other participants without creating a team or channel.
Meeting chat is part of the meeting record
Most Teams meetings include chat before, during, and after the meeting, so participants can share information without interrupting the discussion. In a recurring meeting, the same chat continues from one meeting to the next. The meeting organizer or an IT administrator can restrict chat access, so the available options may differ between meetings.
Use meeting chat for an agenda link, a question for the presenter, a decision made during the call, or a follow-up resource. Keep longer-lived project discussions in a channel so they remain connected to the team’s work rather than to one calendar event.

2. Channels organize durable team work
A channel gives a team a lasting location for a project, subject, or workstream. Posts and replies stay attached to that channel, making the discussion easier to browse and search than a fast-moving group chat.
Choose the channel type that matches your audience

Standard channels are available to all team members. When a new team, private channel, or shared channel is created, Teams creates a corresponding team site in SharePoint. Membership and organizational policy determine what each person can see.

Use posts for context, not just alerts
Start a new post for a distinct topic, then keep replies in its thread. This preserves the relationship between the question, files, and decisions and gives search a useful channel context.
3. Meetings and Calendar connect synchronous work to its follow-up
The Teams Calendar shows upcoming meetings and events scheduled in Teams, Exchange, or Outlook. From the calendar, you can open an event, review its details, join at the scheduled time, and return to associated conversations afterward.

Channel meetings keep the discussion with the project
When a meeting is created for a channel, it appears as a post in that channel. Team members can find and join it from the project’s conversation, and the related discussion continues in the channel thread. This is useful when people need the meeting context, questions, and follow-up actions to remain visible to the group.
For a private conversation among selected participants, schedule a regular meeting instead. The organizer’s settings and administrator policies can affect who may use meeting chat and when.

4. File sharing has two storage locations
Every chat and channel includes a Shared tab for files and links. The location of a file depends on where you uploaded it:

As Microsoft Support explains, “Files you upload to a channel are stored in your team’s SharePoint folder.” A chat attachment is not automatically a team-wide document; it remains in the sender’s OneDrive for Business with sharing granted to the conversation participants.

Ways to locate a file
- Open the chat or channel and select its Shared tab to see files and links associated with that conversation.
- Use OneDrive views such as Home, My files, Shared, Favorites, and Recycle bin for personal and chat-shared documents.
- Use Quick access for channel files that are stored in SharePoint.
Store a document in a channel when the whole project needs a durable, team-managed copy. Send it in chat when the intended audience is limited to that conversation.

Use the Search box at the top of Teams to find messages, people, files, and other shared information. Enter a keyword or a person’s name, then narrow the results with filters such as Chats or Channels, team or channel, sender, date, mentions, attachments, or file type.
Search efficiently
- Enter a distinctive word, phrase, or person’s name in the Search box.
- Select the relevant result category, such as Chats or Channels.
- Apply filters for the team or channel, sender, date range, mentions, attachments, or file type.
- Open the result in its original conversation so you can read the surrounding thread and verify the context.
To search only the conversation currently open, press Ctrl+F on Windows or Cmd+F on macOS. This is useful when you know the message is in a particular chat or channel but do not need a tenant-wide search.

Apps can extend these workflows
Teams apps can be added from the Apps area or directly from a channel or group-chat compose box. Depending on the app, it may post updates, assign tasks, set reminders, or support another conversation-based workflow.
Review an app’s requested permissions and your organization’s policy before adding it. Availability, installation rights, and interface labels can vary by Teams version, license, device, and administrator settings.
