Finder’s most useful shortcuts depend on what you’re doing: use a view suited to the task, preview files before opening them, and rely on tags or saved searches to gather related items without moving them. These 10 Finder tips explain where to find each feature and what it does.

1. Choose a Finder view for the task

Finder has four main views. Switch between them as your needs change rather than treating one as the best layout for every folder. Choose a view from the Finder toolbar or the View menu; available controls can vary by macOS version.

View Best for
Icon Scanning thumbnails and file icons visually.
List Comparing details such as size, kind, and modification date.
Column Following a folder hierarchy while keeping parent folders visible.
Gallery Viewing a large preview alongside a filmstrip of items.

Apple’s overview of Finder views is in its guide to changing how folders are displayed.

2. Show the Preview pane for an at-a-glance check

Choose View > Show Preview to inspect the selected file within the Finder window. The pane is useful when you are browsing a folder and want a persistent look at items as you select them, without opening each one in its usual app. Apple documents this and other Finder display options in its folder display guide.

3. Use Quick Look for a temporary preview

Select a file and press Space to open Quick Look; press Space again or close the preview to return to Finder. Unlike the Preview pane, Quick Look is an on-demand preview. For supported file types, it can also offer actions such as markup or trimming. See Apple’s Quick Look guide for details.

4. Run a Quick Action without opening an app

Control-click a selected file and choose Quick Actions, or use an action button in the Preview pane when one is available. Apple describes Quick Actions as a way to perform certain tasks from Finder or the desktop without opening an app. Examples include rotating or converting images, marking up files, trimming supported audio or video, and creating PDFs. The menu depends on the file type and enabled extensions, so an action may not appear for every item. Details are in Apple’s Quick Actions guide.

5. Tag a file that belongs to multiple projects

Tags let you find a file by category without relocating it from its current folder. Select an item and press Control-1 through Control-7 to apply one of your favorite tags; Control-0 removes all tags. You can also browse tags in the Finder sidebar or use them in search. Apple explains tag management in its tag files and folders guide.

6. Save a recurring search as a Smart Folder

Choose File > New Smart Folder, add search criteria, then save the folder. A Smart Folder displays items matching its rules; it does not move or duplicate those items. It can be useful for a recurring collection such as recently edited PDFs, spreadsheets, or files with a particular tag. See Apple’s Smart Folder guide.

7. Narrow Finder searches with metadata

When a broad search returns too much, add a file attribute to narrow the results. Examples of Finder search terms include kind:pdf and author:tom; you can also filter by a modified-date condition. Supported attributes and query behavior can vary, so check the suggestions Finder presents on your macOS version. If you repeat the same criteria, save the search as a Smart Folder. Apple’s search guide covers searching from the Mac.

8. Go directly to a known folder path

If you already know a folder’s path, use Go > Go to Folder in Finder and enter it rather than clicking through each enclosing folder. This is most useful when the destination is known; it is not a substitute for searching when you do not know where a file is. Apple outlines the command in its Go to Folder guide.

Add a frequently used item to the Finder sidebar for quick access without moving the original. If you need a shortcut you can place elsewhere, select the item and choose File > Make Alias. An alias is a reference to the original item, not a second copy. Apple’s alias guide explains how to create and use one.
