The best small-business CRM is not necessarily the one with the longest feature list. A two-person consultancy may need a clean contact database and follow-up reminders, while a growing sales team may need routing, automation, forecasting, marketing, payments, or customer-data controls.

This shortlist compares 10 CRM products using current vendor pricing, free-plan restrictions, user minimums, pipeline features, automation, reporting, and expansion costs. Prices below are U.S. list prices checked on August 8, 2026. Annual and monthly billing are labeled because they are not directly comparable.

Quick comparison: the 10 best small-business CRMs

CRM Best for Starting price Free option or trial
HubSpot CRM Best free starting point and broad ecosystem Free; paid CRM from $15/seat/month Free CRM; no credit card required

Keap Automation, payments, and commerce From $299/month, or $2,988/year annually Contact sales and implementation model

Pricing can change with billing term, location, seat count, contact volume, add-ons, and promotions. Treat the figures as a comparison starting point rather than a final quote.

The important pricing detail is that HubSpot has more than one product layer. Smart CRM is the data and record-management foundation. Sales Hub is a separate layer for prospecting, pipeline management, coaching, and sales tools. The CRM product page lists paid CRM tiers from $15 per seat/month for Starter, $50 for Professional, and $75 for Enterprise, but those figures should not be treated as the complete cost of Sales Hub Professional or Enterprise.

Sales Hub also uses HubSpot Credits for some current capabilities: Starter includes 500 monthly credits, Professional includes 3,000, and Enterprise includes 5,000. Unused credits do not roll over, and additional credits cost $0.010 each.

Choose HubSpot if: you want a strong free foundation, marketing and sales integration, or a platform that can grow into a broader business system. Watch for: paid seats, separate product packaging, and metered AI or automation usage.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Zoho CRM — best value for feature depth

Zoho CRM offers unusually broad edition coverage for a small-business product: a Free edition followed by Standard, Professional, Enterprise, and Ultimate. The Free edition supports up to three users and includes essentials such as leads, documents, and mobile apps.

Annual prices are $14/user/month for Standard, $23 for Professional, $40 for Enterprise, and $52 for Ultimate. Monthly prices are $20, $35, $50, and $65. The differences between editions are substantial. Custom modules, for example, increase from 10 in Standard to 25 in Professional, 200 in Enterprise, and 500 in Ultimate.

Zoho is a good fit when you need more customization than a basic pipeline tool provides but cannot justify enterprise CRM pricing. It also uses a pay-as-you-go model: customers can select monthly or yearly billing, change plans, and avoid a fixed contract.

To change plans, sign in to Zoho CRM, click Upgrade on the Home page, then use the Subscription page to switch editions.

Choose Zoho if: custom modules, mobile access, and scalable CRM features matter more than having the simplest interface. Watch for: the large jump in capabilities and price between editions.

3. Salesforce Starter Suite — best for a growth path into Salesforce

Salesforce Starter Suite brings the Salesforce name and core sales tools to smaller teams at $25/user/month, with monthly or annual billing. It includes lead, account, contact, and opportunity management; sales flows and lead routing; automatic syncing of emails, events, and contacts; dynamic email marketing; and analytics.

There is a 30-day Sales Cloud trial, and the Starter Suite trial can support up to 10 users for 30 days. Businesses that outgrow Starter can move to Pro Suite at $100/user/month, Enterprise at $175, Unlimited at $350, or Agentforce 1 Sales at $550. The higher tiers are listed as billed annually.

  • Each 160 Pages Per Book: Provide ample space for note taking & planning and with the date section at the top for tracking them. With 160 pages for meeting minutes, the manager notebook will cover more than half a year, even in daily use. Also provides index pages for organizing this office planner.
  • Better Tool Drives Better Meetings: The hassle of organizing the chaotic meeting notes VS this professional meeting notebook. Definitely a step up! Everything is neatly zoned on each page makes it a breeze to fill them out and ensure all you need are accounted for.

Starter is not a miniature version of every Salesforce capability. The current comparison material lists several advanced automation, forecasting, API, and AI features as higher-tier capabilities or paid additions. Therefore, the headline $25 figure is a useful entry price, not a reliable estimate for an advanced Salesforce deployment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose Salesforce Starter if: you expect your sales operation to become more complex or may eventually need Salesforce’s larger ecosystem. Watch for: implementation effort, edition upgrades, and add-on costs.

4. Pipedrive — best for visual pipeline management

Pipedrive is centered on the sales pipeline rather than trying to be an entire business operating system. Its current plans are Lite, Growth, Premium, and Ultimate; older articles that mention Essential, Advanced, Professional, Power, or Enterprise are using outdated plan names.

Annual list prices are $14/seat/month for Lite, $39 for Growth, $59 for Premium, and $79 for Ultimate. Lite includes lead, calendar, and pipeline management. Growth adds full email synchronization, tracking, automations, nurturing sequences, forecasting, and meeting scheduling. Premium adds lead generation and routing, custom scoring, company-data enrichment, AI-powered multi-email tools, contracts, and electronic signatures.

Check the add-on rules before comparing plans. LeadBooster, Projects, and Smart Docs are included in Premium and Ultimate but are add-ons on Lite and Growth. Campaigns and Web Visitors remain separate add-ons.

To review or change a subscription, open the account menu in the top-right corner, select Billing, then choose Manage subscription and All plans.

Choose Pipedrive if: your team needs a clear, activity-focused sales process. Watch for: the cost of add-ons if you need lead generation, marketing, projects, or document tools.

5. Freshsales Suite — best for affordable sales and marketing tools

Freshsales Suite combines CRM functions with communication and marketing features. A Free plan supports up to three users. Annual pricing starts at $9/user/month for Growth, followed by Pro at $39 and Enterprise at $59.

Growth includes 500 marketing contacts, Kanban views, contact lifecycle stages, chat, email, phone, email templates, and custom fields. Pro adds contact scoring, deal insights, custom sales activities, territory management, and sales sequences. Enterprise adds forecasting insights, field-level permissions, custom modules, sandbox access, and audit logs.

Freshworks offers a 21-day full-featured trial. If the trial ends without a paid plan, Freshworks says the account is suspended. Budget for possible extras: Freddy AI Agent costs $49 per 100 sessions, branded documents cost $19/user/month, and additional marketing contacts start at $100/month for 5,000 contacts.

6. monday CRM — best for customizable team workflows

monday CRM will appeal to teams that think in boards, columns, assignments, and repeatable workflows rather than traditional CRM screens. Its public pricing lists Basic at $12/seat/month when billed annually or $18/seat/month when billed monthly.

Basic includes 1,000 active contacts and deals, one custom dashboard, a maximum of five columns per board, and up to 20 quotes and invoices per month. Pricing starts at three users, so a small team cannot simply multiply the advertised price by one. Teams with more than 40 users must request a quote.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

There is a 14-day trial. Annual billing carries an 18% discount according to monday’s FAQ, while monthly plans are not discounted. After the trial, continued full-feature access requires a paid plan. To change a plan, go to Admin, select Billing, and choose Change plan.

Choose monday CRM if: your sales process overlaps with project tracking and team operations. Watch for: the three-user minimum, active-contact limits, seat-group pricing, and country-specific pricing shown before payment.

7. Less Annoying CRM — best for simple, transparent pricing

Less Annoying CRM deliberately avoids a feature-tier maze. It costs $15/user/month after a 30-day free trial, with one publicly listed paid tier. The company says there are no contracts, setup fees, onboarding fees, or upgrade charges, and billing is month to month.

The trial provides the full product without feature limitations, making it useful for testing the actual workflow rather than a restricted demo. Account data can also be exported to a spreadsheet, which is a practical safeguard for a small company that does not want to become heavily dependent on one vendor.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

This is not the choice for advanced marketing automation, complex product catalogs, or a large enterprise data model. Its strength is reducing the administrative overhead around contacts, follow-ups, and relationship history.

Choose Less Annoying CRM if: your priority is a straightforward CRM with predictable billing. Watch for: its deliberately narrower scope compared with HubSpot, Zoho, Salesforce, or Keap.

8. Insightly CRM — best for CRM-plus-project management

Insightly is a strong option when winning the deal is only the start of the work. Its CRM product includes project management, allowing a business to connect sales records with delivery tasks and ongoing customer work.

Plus includes lead and contact management, project management, advanced reports, and pre-built business dashboards. Professional adds lead assignment and routing, workflow automation, and AI Copilot. Enterprise adds sandboxes, products, pricebooks, quotes, and comprehensive audit logging.

Published record limits are 100,000 for Plus, 250,000 for Professional, and 500,000 for Enterprise. File storage increases from 10 GB to 100 GB and then 250 GB. Plus and Professional have a 14-day free trial; Enterprise is presented as contact-sales.

Do not confuse Insightly CRM pricing with Insightly Marketing, Insightly Service, AppConnect, or the All-in-One bundle. Those are separate pricing areas.

Choose Insightly if: sales and project delivery need to share customer information. Watch for: storage, record limits, and the cost of adding other Insightly products.

9. Capsule CRM — best for a small, uncomplicated database

Capsule keeps its core proposition focused: contacts, relationships, and a basic pipeline. It has a Free plan plus Starter, Growth, Advanced, and Ultimate paid plans. The Free plan supports up to 250 contacts, five custom fields, and 50 MB of storage.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That free tier can work for a solo operator or a very small contact database, but the limits are material. Starter raises the contact limit to 30,000, includes 10 GB of storage per user and 50 custom fields, and provides 10 AI Content Assists per month plus five email templates. Paid plans have a 14-day trial, and annual billing can reduce the price by up to 15%.

Choose Capsule if: you want a clean CRM without a large implementation project. Watch for: the 250-contact and 50-MB restrictions on the Free plan, particularly if you store files or expect rapid database growth.

10. Keap — best for automation, payments, and commerce

Keap belongs in a different price and capability category from basic contact-and-pipeline CRMs. Its full platform starts at $299/month, or $2,988/year when billed annually. It combines CRM, sales and marketing automation, checkout forms, payments, and related business tools.

Contact volume affects the price, so the starting figure is not necessarily the cost for a growing database. Keap also includes text-marketing allowances. Tier 1 provides 500 messages and 100 voice minutes; higher tiers start at $24/month for 1,000 messages and 300 minutes. Overages are listed at $0.015 per message and $0.01 per voice minute.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Text marketing is currently available only in the U.S. Dedicated phone lines and one-to-one text messages are available only to users in the U.S. and Canada. Required implementation services are part of Keap’s onboarding model, so buyers should ask about implementation packages before signing up.

How to choose a CRM for a small business

  1. Map the process before comparing features. Write down where a lead enters, who owns it, what stages it passes through, which reminders are required, and what happens after a sale. A CRM that matches this process is more valuable than one with dozens of unused modules.
  2. Calculate the real first-year cost. Multiply the per-user price by the number of paid seats, then add required marketing contacts, messaging, lead-generation, document, or implementation charges. For monday CRM, start with the three-user minimum rather than one seat.
  3. Separate free from genuinely usable. HubSpot has a free CRM account; Zoho and Freshsales support up to three free users; Capsule Free is limited to 250 contacts and 50 MB; monday CRM offers a 14-day trial rather than an ongoing free CRM plan.
  4. Test data import and export. Import a representative spreadsheet, check duplicate handling, create a deal, assign a task, and export the data again. This catches problems before the CRM becomes the company’s only customer record.
  5. Check automation limits. Ask whether automation is included in the chosen edition, whether AI is metered, and whether email, phone, SMS, or marketing contacts have separate allowances. HubSpot Credits, Freshsales Freddy AI sessions, and Keap text usage are examples of costs that may sit outside the headline seat price.
  6. Confirm billing and cancellation terms. Compare annual prices with annual prices and monthly prices with monthly prices. A discounted annual plan may be cheaper, but monthly billing can be safer while the team is still validating the software.
  7. Plan the next stage. A simple CRM may be ideal now but inadequate once the business needs territories, quoting, forecasting, audit logs, or integrations. Conversely, paying for enterprise features too early creates cost and administration without improving follow-up.

Which CRM should you pick?

Start with HubSpot if you want a capable free foundation and may later connect sales and marketing. Pick Zoho CRM for a broad feature set and substantial customization at comparatively low published prices. Choose Pipedrive or Less Annoying CRM when the priority is a focused, understandable sales and relationship workflow.

Freshsales Suite is attractive when built-in communication and marketing contacts matter. monday CRM fits teams that want CRM records to behave like collaborative work boards. Insightly is the better fit when won deals become projects. Capsule is a sensible lightweight option, provided its Free limits are sufficient.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose Salesforce Starter Suite for a deliberate path into Salesforce, not simply because the entry price is $25. Choose Keap only when its automation, payments, and commerce capabilities justify a much higher platform cost.

FAQ

What is the best free CRM for a small business in 2026?

HubSpot CRM is the strongest general starting point because its free account includes contact management, deal pipelines, CRM import, Breeze Assistant, and reporting dashboards. Zoho CRM and Freshsales also have free editions for up to three users. Capsule’s free plan is more restricted, with a 250-contact and 50-MB storage limit.

What is the cheapest CRM on this list?

The lowest ongoing paid entry prices listed are Freshsales Suite Growth at $9/user/month billed annually, monday CRM Basic at $12/seat/month billed annually, Zoho CRM Standard at $14/user/month billed annually, and Pipedrive Lite at $14/seat/month billed annually. monday CRM has a three-user minimum, and the other products may have add-ons or usage limits.

Should a small business choose monthly or annual CRM billing?

Annual billing is usually cheaper, but it commits the business for longer. Monthly billing is useful during evaluation or when headcount is uncertain. Always compare the same billing terms: several vendors prominently advertise annual prices, while Salesforce Starter explicitly supports monthly or annual billing.

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How many users does a small-business CRM need?

Buy seats for people who actively create, edit, qualify, or manage customer records. Some products provide view-only access without an additional paid seat, while monday CRM starts at three users. Confirm the vendor’s seat rules before using a per-user price to estimate your total.

The Bottom Line

For most small businesses, begin by testing HubSpot CRM, Zoho CRM, Pipedrive, or Freshsales against a real sales process and a sample data import. Keep the decision tied to total cost, user minimums, contact limits, automation allowances, and the amount of administration your team can realistically support.
