What is business email hosting?
Business email hosting stores and delivers messages for addresses on a company’s own domain, such as name@company.com. The mailbox provider receives inbound mail, stores messages, sends outbound mail, filters spam and malware, and usually supplies a webmail interface or mail-client access.

The real cost of business email is the recurring plan cost plus domains, required seats, storage, migration, backup, archive, support, taxes, and any separate collaboration applications. A low per-user price can become expensive when shared addresses require additional mailboxes or when the business must buy separate tools for documents and meetings.
Use U.S. dollars for a U.S. comparison, state whether prices are monthly or annual, distinguish introductory prices from renewal prices, and record the date checked. How much storage does each service include?
Storage comparisons must separate mailbox storage from shared cloud storage. A provider may advertise a large cloud-storage allocation that covers Drive, OneDrive, or WorkDrive rather than giving the same amount exclusively to the inbox.
Microsoft’s business-email page advertises 1 TB of cloud storage per user, while Zoho’s plan comparison distinguishes mail storage from WorkDrive storage. Fastmail showed 6 GB total storage per user in the accessed pricing information, and Hostinger showed 10 GB per mailbox on the relevant offer. These figures are plan-specific, not universal provider limits, and should be checked against the live plan selector.
Also check attachment limits, pooled-versus-per-user storage, archive capacity, retention storage, and whether deleted-user data remains available to administrators. A business with large attachments, years of mail, or legal retention needs should not choose solely from the headline inbox-storage number.
Which security controls matter in hosted business email?
The minimum useful security review includes spam and malware filtering, phishing protection, multifactor authentication, administrator-enforced MFA, account recovery, DKIM, SPF, DMARC, TLS, encryption at rest, audit logs, retention, and restoration options.
- MFA and passkeys: reduce the impact of stolen passwords; confirm whether administrators can require MFA for every user.
- SPF: identifies authorized sending services for the domain.
- DKIM: adds a cryptographic signature to messages sent by an authorized service.
- DMARC: tells receiving systems how to handle messages that fail authentication and can provide reporting.
- TLS: protects mail while it travels between systems when the receiving system supports the connection.
- Encryption at rest: protects stored data within the provider’s systems but is not the same as end-to-end encryption.
- Retention and legal hold: preserve messages under defined policies, but availability depends on the plan, configuration, and business procedures.

Do not treat the words “secure” or “encrypted” as a complete security specification. Encryption in transit, provider-side encryption, and end-to-end encryption protect different parts of the communication path. Proton’s privacy model deserves particular care because messages sent to conventional external mailboxes may not receive the same end-to-end treatment as messages exchanged within a compatible encrypted environment.

Do not promise that a provider automatically makes a business HIPAA-, GDPR-, FINRA-, or legal-hold compliant. Compliance depends on the selected plan, contract, data-processing terms, configuration, retention settings, access controls, and the company’s own procedures.

External-client support depends on the plan, not only the provider. Before purchase, verify IMAP and SMTP, POP if needed, Exchange ActiveSync, native mobile applications, desktop support, calendar and contact synchronization, OAuth, app-password requirements, and any special bridge application.
Zoho’s free tier is an important example: official plan material indicates that IMAP, POP, and ActiveSync are excluded. A team that requires Outlook or Apple Mail may therefore need a paid Zoho tier. Proton may require a different client workflow or Bridge-style compatibility layer, so Proton should be tested with the company’s actual devices and applications before DNS cutover.
Google Workspace and Microsoft 365 are usually the strongest fits when a company wants a first-party web and mobile experience plus integrated calendars, files, meetings, and identity. Fastmail is more attractive when standard email protocols and focused mail functionality matter more than office-suite integration.
How do you set up a custom-domain business email account?
Business email setup normally follows the same sequence, although the exact DNS records and interface labels differ by provider:
- Choose the domain: use an existing domain or register one separately. Domain registration and mailbox hosting are different services.
- Create the provider account: select the plan and designate an administrator with a secure recovery method.
- Verify domain ownership: add the provider’s DNS TXT or CNAME verification record at the service that actually manages the domain’s DNS.
- Create users and addresses first: add employee mailboxes, aliases, groups, shared addresses, and forwarding rules before changing mail routing.
- Publish MX records: replace or update the old provider’s MX records with the new provider’s exact values and priorities.
