For a quick, free reduction on a Mac, use Preview’s File > Export > Quartz Filter > Reduce File Size, then inspect the result before replacing the original. For repeatable control, use Acrobat’s PDF Optimizer: choose image resolution and downsampling deliberately, match compression to the content, embed fonts when appearance matters, and enable fast-web-view only when browser streaming is a requirement. For searchable scans, start at 300 dpi for grayscale or color and 600 dpi for black-and-white, run OCR with the correct language, and verify that text can be selected, searched, and copied.
There is no single “best” preset. The right conversion depends on whether the recipient needs a small screen copy, a print-faithful file, searchable scans, or an archival master. The settings below preserve the most important quality while meeting each goal.
Choose the target before changing a PDF
PDF optimization is a trade-off among visual fidelity, file size, OCR accuracy, reader compatibility, and processing time. A photo-heavy scan can shrink dramatically with JPEG compression, while a chart, screenshot, signature, or line drawing may show obvious artifacts if treated the same way. Higher resolution generally preserves detail but creates larger files and can take longer to process.

Always keep the original or a lossless master. Optimization is easiest to undo when the source remains available.

Fastest native method: Preview on macOS
Preview is the right first pass when you need a smaller file without installing additional software. Apple cautions that a compressed PDF may be lower quality than the original and that the resulting size and image quality vary with the selected options.
Reduce a PDF for ordinary screen or email use
- Open the original PDF in Preview.
- Choose File > Export.
- Enter a new filename so the source remains untouched.
- Open the Quartz Filter menu and select Reduce File Size.
- Save the exported copy.
- Open the copy and compare representative pages at 100% magnification.
This filter is intentionally simple. It can be effective for a scanned packet or presentation that is too large to send, but it does not expose the same image-by-image controls as a professional optimizer. Tiny type, signatures, photographs, and thin lines are the first things to check.
Other Preview export options
Preview also exposes options such as Create Linearized PDF, Optimize images for screen, and Save images as JPEG. Linearization can help a PDF begin displaying while it is being downloaded, but it is not a substitute for image compression. Screen optimization favors on-screen viewing over print detail. JPEG output is useful for photographic pages, yet repeated JPEG encoding can create blockiness around text and line art.
Preview cannot give you a reliable OCR workflow by itself. If a scan contains only page images, reducing its size will not make the words searchable; you must run OCR in an application that supports text recognition.
When Acrobat’s optimizer is worth using
Acrobat provides finer, repeatable controls for image resolution, downsampling method, compression and quality, font embedding, object-level compression, compatibility, and fast-web-view optimization. Adobe’s settings overview, updated September 23, 2025, documents conversion resolution values from 72 to 4000 for the relevant setting. Raising resolution increases file size and may slightly increase processing time.

Open the optimizer and create a controlled copy
- Open the PDF in Acrobat.
- Use the PDF optimization command and open the detailed settings rather than accepting a one-click preset.
- Set the compatibility level required by the recipient’s PDF reader or document system.
- Review the panels for images, fonts, transparency, objects, and user data.
- Save the optimized file under a new name.
For recurring work, save a named preset after testing it on representative files. A preset is useful only when the source documents are similar; a setting that works for office scans may damage a photograph-heavy catalog.
Image controls that matter
- Resolution: Lower values reduce size but remove fine detail. Use the lowest value that remains clear at the intended viewing or print size.
- Downsampling method: The method controls how pixels are discarded. Test the result on small type and diagonal lines rather than judging only a photograph.
- Compression: JPEG is efficient for continuous-tone photographs. ZIP/Flate is lossless and does not remove image data, making it safer for charts, screenshots, diagrams, and repeated-edging patterns.
- JPEG quality: Higher quality creates larger files; lower quality can produce ringing, block artifacts, and muddy text edges.
- Monochrome compression: CCITT Group 4 is a common efficient choice for black-and-white pages. JBIG2 can reduce size further, but its lossy mode trades fidelity for size and should be checked carefully.
Fonts, objects, and web delivery
Embed fonts when the PDF must look the same on another computer or be printed by a service that may not have those fonts. Object-level compression can remove redundant structural overhead, but do not discard objects or metadata required by a records system. Enable fast-web-view optimization when recipients will open large files in a browser and progressive loading matters; it does not improve the underlying scan quality.

Best settings for a small screen or email copy
Start with Preview’s Reduce File Size filter when speed matters. If you need consistent results across many files, use Acrobat and apply conservative image downsampling.
Recommended approach
- Identify the largest pages or images first; a few high-resolution photographs often account for most of the file.
- Downsample color and grayscale images conservatively instead of applying the most aggressive preset.
- Use JPEG for photographic pages and retain text, vector shapes, and line art without lossy conversion.
- Remove unnecessary embedded items only when you know the recipient does not need them.
- Use fast-web-view optimization only if browser streaming is part of the delivery requirement.
- Open the output at 100% and search for several words before sending it.
Do not judge the result from the file-size number alone. A tiny PDF that turns small type into blur is a failed conversion, especially when the recipient must print or copy text later.
Best settings for high-fidelity printing
Print workflows need enough resolution for the final physical size. Avoid aggressive Preview compression for a file that will be proofed, typeset, or printed. In Acrobat, retain higher image resolution and choose compression according to the page content.

Use lossless compression where artifacts would be obvious
Choose ZIP/Flate for charts, line drawings, screenshots, diagrams, and pages containing repeated sharp edges. Adobe describes Flate as lossless: it does not remove image data to reduce size. Photographs can still use high-quality JPEG when a modest amount of loss is acceptable, but inspect skin tones, gradients, and fine texture at the intended print size.
Protect layout consistency
Embed fonts when appearance must remain consistent across systems. Check overprint-sensitive graphics, transparency, rotated pages, signatures, and hairline rules after export. A file that looks correct on-screen can reveal missing glyphs or softened rules when printed.
Scan resolution and compression for OCR
Adobe’s documented starting points are 300 dpi for grayscale or color scans and 600 dpi for black-and-white scans. These are practical starting values, not guarantees: the original type size, blur, skew, paper quality, and scanner optics affect recognition.

Resolution settings can span 72 to 4000 in the relevant Acrobat conversion controls, but selecting the maximum is rarely useful. It increases file size and may slow processing without improving OCR on a low-quality original. If the source is already a small, blurred image, more dpi cannot recreate missing detail.
Make a scanned PDF searchable on a Mac
OCR converts text in page images into searchable, selectable text. Compression and OCR are separate operations: a smaller scan is not automatically searchable.

Prepare the scan
- Keep an untouched scan as the master.
- Rotate pages upright and remove blank or severely damaged pages.
- Choose 300 dpi for color or grayscale, or 600 dpi for black-and-white, unless the document’s type size requires a test at a different value.
- Use JPEG for ordinary photographic color or grayscale pages, ZIP when lossless preservation is more important, and a suitable monochrome codec for black-and-white pages.
Run Recognize Text
- Open the scan in Acrobat.
- Start the Recognize Text (OCR) workflow.
- Select the correct document language and page range.
- Run recognition and save the result as a new file.
- Test text selection, search, and copy/paste on several pages.
Adobe defines Recognize Text as converting text images into searchable, selectable text. Language selection matters: OCR may misread words, punctuation, and accented characters when the wrong language model is used.
Check OCR where errors are costly
- Search for names, dates, totals, and uncommon words rather than only common terms.
- Copy a paragraph into a plain-text editor and compare it with the scan.
- Inspect small type, columns, tables, superscripts, signatures, and pages with stamps or handwriting.
- Check rotated pages and pages with unusual contrast.
OCR accuracy is not binary. A document can be searchable while still containing transcription errors, so use the image as the authority for legal, financial, medical, or compliance decisions.
Compression choices by page content

Do not convert every image in a mixed document to the same codec by habit. A report may contain photographs, charts, and monochrome text pages that each need different treatment.
Archival and compliance workflow
Keep an untouched master before any optimization. Create a derivative for sharing, and use PDF/A only when the receiving workflow explicitly requires it. PDF/A is a conformance format, not a universal “best quality” switch; the correct profile depends on the system accepting the file.
Validate more than size
- Compare page appearance with the master at 100% and at the intended print size.
- Confirm required fonts are embedded and that characters render correctly on another system.
- Check metadata, page order, rotation, signatures, and attachments according to the records policy.
- Validate OCR by searching and copying representative text.
- Record which preset or settings produced the derivative if the workflow must be reproducible.
A small file is not automatically a compliant file. Retention, authenticity, metadata, and readability can matter more than byte count.

Quality-control checklist before delivery
- Keep the original or a lossless master in a separate location.
- Export a test copy before processing the full batch.
- Compare a representative photograph, text page, and line-art page at 100%.
- Check the resulting file size and how quickly pages load.
- Search for several words, select text, and copy/paste to test OCR.
- Inspect rotated pages, small type, signatures, fine lines, tables, and stamps.
- Use the least aggressive downsampling and compression that meets the delivery limit.
- Open the final file in the recipient’s expected PDF reader or browser.
Troubleshooting common failures
The PDF is smaller but text looks blurry
Restore the master, then repeat the export with less downsampling or higher JPEG quality. For charts and screenshots, switch to ZIP/Flate. Check at 100% rather than relying on a fit-to-page view, which can hide artifacts.
OCR finds few or incorrect words
Confirm that the pages actually contain image-only text, select the correct OCR language, and inspect resolution and contrast. Re-scan at the appropriate starting dpi when the original is too small or blurred. Avoid lossy monochrome compression if punctuation or thin strokes are being lost.
The file prints differently on another computer
Embed the required fonts in Acrobat and verify that the chosen compatibility level suits the recipient. Reopen the output on a second system before delivery.

Check whether large images dominate the file, then apply measured downsampling. Enable fast-web-view optimization when progressive browser loading is needed, but do not sacrifice print detail merely to improve streaming.
A batch produces inconsistent results
Group similar source files, create a tested Acrobat preset for each group, and process a sample before the full run. Preview’s single filter is convenient but offers less repeatable control over mixed collections.
A practical decision rule
Use Preview when the task is a one-off screen or email copy and a quick visual check is acceptable. Use Acrobat when you need controlled image treatment, OCR, font handling, PDF/A output, or repeatable batch settings. Preserve a master whenever the document may later be printed, audited, reprocessed, or used as evidence.
Judge the finished PDF on all six relevant axes: visual fidelity at 100% and print size, file size, OCR/search accuracy, recipient compatibility, processing time, and repeatability. The best setting is the least aggressive one that satisfies the actual delivery requirement.
