For a straightforward meeting, a computer webcam is the simplest way to go live on YouTube. If you need to show slides or software, mix in external audio or video, or control a more produced layout, use an encoder workflow instead. Before choosing either, decide who should be able to watch: public, unlisted, and private streams have different levels of discoverability and access.

1. Check that your YouTube channel can go live

Do this before meeting day. YouTube says a channel must be verified and must not have had live-streaming restrictions in the past 90 days. First-time live-stream activation can take up to 24 hours, and streamers must be at least 16 years old. See YouTube’s live-streaming eligibility guidance.

  1. Sign in to the YouTube account that will host the meeting.
  2. Open YouTube Studio and start the live-stream setup. If the channel is not eligible or live streaming is not activated, follow the on-screen verification or activation prompts.
  3. Allow time for first-time activation; do not leave it until the scheduled start.

2. Choose webcam or encoder

YouTube describes webcam and encoder as distinct ways to stream. Its guidance treats an encoder as the option for screen sharing and more advanced equipment; see YouTube’s streaming methods and webcam streaming setup.

Use a webcam for a simple meeting

  1. On a computer, open YouTube and choose the option to go live.
  2. Select the webcam workflow and enter the meeting’s title, description, and intended visibility.
  3. Choose the correct camera and microphone when prompted. Review the preview and confirm that the image and sound are right before starting.

A laptop webcam is sufficient for this route; a separate USB webcam is optional, not a requirement. An external USB microphone is worth considering only if the built-in microphone does not provide suitable meeting audio.

Use an encoder when you need screen sharing or production control

Use an encoder workflow if the broadcast needs to include slides, software demonstrations, external equipment, or a composed layout. The encoder sends its output to YouTube; YouTube’s Live Control Room is where you check the incoming preview and start the broadcast.

3. Choose who can watch before you go live

Set visibility in the live-stream setup before sharing the link. YouTube advises: “Protect your privacy by setting personal live streams to ‘private’ or ‘unlisted.’” See YouTube’s streaming tips.

For a team meeting, decide who should receive the viewing link and who will be able to access any replay. Unlisted is link-accessible, not access-controlled: anyone who obtains the link can pass it on. Private limits viewers to people selected for sharing, but neither setting replaces your organization’s access controls. Whether participant notice or consent is legally required depends on jurisdiction and workplace context; check applicable law and organizational policy rather than assuming one rule applies everywhere.

4. Prepare and test the stream

Check the network under meeting conditions

Test outbound bandwidth, not just download speed: upload capacity can be lower, and a shared office connection may leave less bandwidth for your broadcast than expected. YouTube recommends keeping 20% upload-bandwidth headroom above the stream bitrate. Test the actual meeting pattern, including speakers moving, screen sharing, and other network use. Follow YouTube’s streaming tips for network and production checks.

  • Check that the camera captures the people or room you intend to show.
  • Listen for clear speech and unwanted background noise.
  • Check the upload connection while other expected office or home network use is active.
  • For an encoder setup, confirm that the incoming video appears in the Live Control Room preview before starting.
  • Where available, check the stream from the channel or watch page and on a mobile device, not only from the host computer.
  • Arrange a local recording as a backup if the meeting must be retained.

Monitor the broadcast while it is live

Keep the Live Control Room available during the meeting. Monitor picture and sound, and watch for changes in stream health. A static pre-meeting camera check will not reveal every issue caused by movement, screen sharing, or changing network load.

5. Connect an encoder securely

For an encoder stream, YouTube provides a server URL and stream key in the live setup. The key acts as a credential that lets the encoder send a feed to your channel, so treat it like a password: do not put it in a public document, meeting invite, or recording. If you believe it has been exposed, reset it in Live Control Room and update the encoder.

  1. Create or open the live stream in YouTube Live Control Room and locate its server URL and stream key.
  2. In the encoder’s YouTube connection settings, enter the server URL and stream key. Use RTMPS when supported; YouTube recommends the encrypted RTMP-over-TLS/SSL option. See YouTube’s encoder settings guidance.
  3. Start the encoder’s output, then wait for its signal to appear in the Live Control Room preview.
  4. Check picture and audio in the preview. Start the broadcast from Live Control Room when the feed is ready.

6. End the stream and manage the replay

Plan archive access before the event. YouTube says streams shorter than 12 hours can be automatically archived; streams longer than 12 hours may not be captured at all. Keep a local recording if the content must be preserved. After the event, review the archive’s audience and privacy settings in YouTube Studio, change its privacy if needed, or delete it. 7. Troubleshoot common meeting-stream problems

Problem Likely cause What to do
The channel cannot start a live stream Verification or eligibility requirements are incomplete, a restriction applies, or first-time activation is still processing. Check verification and live-stream eligibility well before the meeting; allow up to 24 hours for first activation.
No encoder video appears in the preview The encoder has not connected, or its server URL or stream key is incorrect. Check the encoder connection details and confirm that its output is running; wait for the signal in Live Control Room before starting.
The stream looks unstable when people move or screens are shared Upload bandwidth may be insufficient or shared with other network activity. Test under realistic meeting conditions, reduce competing network use where possible, and preserve YouTube’s recommended 20% upload headroom.
Viewers cannot open the meeting The visibility setting may not match the audience, or a private viewer may not have been selected for access. Check the stream’s visibility and, for private streams, the selected viewers. For unlisted streams, send the link securely while remembering it can be reshared.
The replay is missing or unavailable A stream longer than 12 hours may not be archived, or the archive’s privacy/access settings may block the viewer. Check YouTube Studio and the archive’s settings. For important recordings, make a local backup rather than relying only on the archive.
