To save an image of Excel in a Power Automate workflow, choose the action that matches where Excel is running. For the Windows desktop app, use Workstation > Take screenshot. For one button, chart, or other control, use Take screenshot of UI element. For Excel for the web, use browser automation’s Take screenshot of web page. Excel worksheet actions read and write cell data; they do not export a visual screenshot.
Choose the right capture method first
Excel can mean three different automation targets. Selecting the wrong action is the most common reason a flow produces data instead of an image, or captures the wrong part of the screen.

These are Power Automate for desktop actions. Cloud-flow Excel integration is a separate feature with its own connection, authentication, and service limitations; it does not turn a worksheet action into an image capture.
Capture an Excel desktop window to a PNG or other file
Use this procedure when the workbook is open in the Windows Excel application and you want the visible window (or a complete monitor) saved as an image.

- Open and arrange the workbook. Start Excel, open the workbook, and scroll or resize it so the intended sheet content is visible. If the flow will capture the active window, bring Excel to the foreground immediately before the screenshot.
- Add the screenshot action. In Power Automate for desktop, create or open a desktop flow, expand Workstation, and add Take screenshot.
- Select the capture area. Choose Foreground window for the active Excel window. Choose Primary screen, Selected screen, or All screens when the required content extends beyond the window or across monitors.
- Set the destination. Set Save screenshot to to File, then enter a complete path and filename such as
C:Automationoutputsales-2026-09-30.png. Create the directory first or add a folder-creation step. - Choose an image format. The documented formats are BMP, EMF, EXIF, GIF, JPG, PNG, TIFF, and WMF. BMP is the listed default; PNG is usually a practical choice for charts, text, and downstream web use.
- Run and verify. Confirm that the file exists and opens before moving to later steps such as attaching it to email, uploading it, or recording its path in a log.
File versus clipboard
The Workstation action can save to a file or the clipboard. File output is safer for unattended runs and for later actions that expect a path. Clipboard output is useful when the next step immediately pastes into another application, but it depends on the correct desktop session and can be overwritten by another clipboard operation.
What the desktop screenshot includes
A foreground-window capture records what is rendered in that window, including the Excel title bar and any visible overlays. It does not reveal rows below the scroll position. To capture a long worksheet, repeat the action while scrolling, or create a report view designed to fit the selected screen; the action is a screen capture, not a worksheet export.
Capture one Excel control or visual element
When the requirement is a chart, ribbon control, dialog, or other identifiable object rather than the complete window, use the separate UI automation action.
- Use the UI automation tools to indicate and capture the target Excel element.
- Add Take screenshot of UI element from the UI automation actions.
- Choose whether to save to a file or clipboard. For a file, provide the full path and filename, then select one of the supported image formats.
- Use the generated
ImageFilevariable when a later action needs the actual path.
Element capture depends on what Excel exposes to Windows accessibility. Microsoft recommends UI Automation (UIA) where possible; older applications or controls may expose Microsoft Active Accessibility (MSAA) instead. If the picker cannot identify the object, try selecting a higher-level container or use a foreground-window capture.
Capture Excel for the web in a browser
For a workbook opened at Excel for the web, automate the browser rather than the desktop Workstation action.
- Launch or attach to the supported browser and navigate to the workbook.
- Wait until the sheet and required visual elements are rendered. A selector-based wait is more reliable than an arbitrary short delay.
- In browser automation, add Take screenshot of web page.
- Choose Entire page for the full rendered page or specify a page element for a focused capture.
- Choose file or clipboard output and provide a complete destination path when saving a file.
Browser zoom, window size, sign-in state, and dynamic loading affect the pixels captured. Keep the browser at a known viewport and wait for the worksheet grid or a distinctive element before taking the shot. This browser action is separate from the Excel flow integration feature, which creates workflows around Excel data and has its own authentication requirements and limitations.
Screenshot versus worksheet data
Use screenshots when a human needs the visual appearance: formatting, conditional colors, charts, or a record of what was displayed. Use Excel actions when another system needs values or formulas. A robust reporting flow often does both:
- Use Excel actions to read a table or range and validate the numbers.
- Arrange the report view and take a screenshot for email or archival evidence.
- Store the image path and the source workbook/version together so recipients can relate the picture to the data.
Reading a worksheet does not create a PNG, JPG, or PDF image, and taking a screenshot does not provide machine-readable cell values.

Formats, naming, and downstream handling
Pick a format for the consumer
- PNG: sharp text and charts with lossless compression.
- JPG: smaller files when slight compression artifacts are acceptable.
- BMP: the documented default, but generally much larger.
- TIFF: useful when a document workflow specifically requires it.
- EMF, WMF, GIF, and EXIF: available in the action; confirm that the receiving application supports the chosen type.
Use deterministic paths
Build filenames from safe values such as an ISO date and report name, for example C:Automationshotsinventory-2026-09-30.png. Avoid characters that Windows does not allow in filenames ( / : * ? " < > |). If multiple runs can overlap, add a run identifier or timestamp to prevent one run overwriting another.
Reliability for attended and unattended runs
Make the target deterministic
- Activate the intended Excel window before a foreground capture.
- Close or hide unrelated windows and notifications.
- Wait for the workbook to finish opening and for charts or images to render.
- Use a fixed window size and display scaling where pixel dimensions matter.
Handle unattended display settings
Unattended desktop flows run in a configured display session. Microsoft documents a display-resolution setting that lets child flows use the resolution configured on the parent flow. Select a resolution that remains valid throughout the flow hierarchy; otherwise a foreground window may be resized, clipped, or positioned differently from an attended test.
Capture evidence around failures
For a failing unattended flow, add one screenshot immediately before and another immediately after the suspected step. Save them with explicit names such as before-open.png and after-open.png. The pair shows whether Excel was present, logged in, on the expected sheet, or blocked by a dialog at the failure point.
Recorder and image-recognition distinctions
Recorded desktop flows are a starting backbone and commonly need editing; loops and conditionals are not recorded automatically. The separate Images pane stores reference images for image-based actions, with algorithm and tolerance settings. Those reusable references are not the output files produced by Take screenshot.

Troubleshooting common failures
The file is missing
Check that the destination is set to File, the directory exists, and the account running the flow can write there. Use an absolute path, not a relative one, and inspect the run details for the resolved filename.
The screenshot shows another application
Foreground window captures whichever window is active at that instant. Add an activate/focus step, close interruptions, and take the shot only after Excel is visibly active. If the content is on a different monitor, select the correct screen instead.
The image is blank or incomplete
Increase the wait for workbook, chart, or web content rendering. For browser captures, wait for a reliable element or network-idle condition where available. For desktop Excel, ensure the workbook is not minimized and that a modal dialog is not covering the sheet.
The UI element cannot be selected
Re-capture the element, try its parent container, and prefer UIA when Excel exposes it. Legacy controls may require MSAA. If element automation remains unreliable, capture the foreground window and crop it in a later image-processing step.

Unattended output differs from attended output
Compare display resolution, scaling, browser zoom, window placement, and sign-in state. Apply the parent-flow display-resolution setting and avoid pixel coordinates that assume a different monitor layout.

Not as one continuous desktop image. Capture visible sections while scrolling, or use the browser page action when the content is an Excel web page.
Where does the UI-element screenshot path come from?
The action exposes an ImageFile variable containing the generated file path; pass that variable to the next file, email, or upload action.
Should I use a screenshot or PDF for a report?
Use a screenshot for a raster image of the rendered view. Use a PDF-oriented action or service when pagination, selectable text, and print layout are required.
