In Word for Windows, click where the image should appear, choose Insert > Screenshot, then select an open window or Screen Clipping. On a Mac, capture the screen first with a macOS shortcut, save the image, and choose Insert > Pictures > Picture from File. The insertion point controls exactly where Word places the screenshot.
Choose the method that fits your screenshot
There are two practical workflows. Word’s built-in Screenshot command is fastest when the window is already open and you want to stay inside Word. A saved-image workflow is better when you need to edit, keep, or reuse the capture, and it is the documented route for Mac.

Insert a screenshot directly in Word for Windows
Capture an entire window
- Open the window you want to show and leave it unminimized.
- Open the Word document and click where the screenshot belongs. Word inserts the image at this insertion point.
- On the ribbon, select Insert, then Screenshot.
- In the Available Windows gallery, click the thumbnail for the window. Word inserts one screenshot immediately.
- Click the inserted image to use Word’s picture-formatting tools if you need to adjust its presentation.
Microsoft states that only windows that have not been minimized to the taskbar appear in the gallery. If the target is missing, restore it and open the Screenshot menu again.
Capture only part of the screen
- Place the cursor at the location for the image.
- Select Insert > Screenshot > Screen Clipping.
- When the clipping view appears, drag across the rectangular area you want.
- Release the mouse. Word inserts the selected region at the cursor.
Screen Clipping uses the first available window in the gallery. If the wrong application is offered, switch to the intended window, make sure it is active and not minimized, return to Word, and open Insert > Screenshot again. Activating the target first moves it to the first position for clipping.

Add more than one capture
The command adds one screenshot for each invocation. To add another image, click a new insertion point and repeat Insert > Screenshot. This also lets you mix full-window captures and clippings in the same document.
Take a screenshot on a Mac, then insert it
Microsoft’s Mac instructions use the operating-system capture shortcuts rather than Word’s Windows Screenshot gallery. By default, macOS saves the resulting file on the Desktop according to those instructions.
Capture the full screen
Press Shift+Command+3. macOS saves a full-screen image.
Capture a selected area
Press Shift+Command+4, then drag over the area you want. Release to save the selection.
Capture a window or menu
Press Shift+Command+4, press Space, and select the window or menu. macOS saves that capture as an image.

Insert the saved file in Word
- In Word, click where the screenshot should appear.
- Choose Insert > Pictures > Picture from File.
- Open the Desktop (or the folder where macOS saved the capture).
- Select the image and confirm the insertion.
This workflow leaves you with a separate image file, so you can edit or reuse it before inserting it in another document.
Use Snipping Tool on Windows when Word’s gallery is not enough
Windows 10 and Windows 11 include Snipping Tool. It can make a freeform snip, rectangular snip, window snip, or full-screen snip. The capture opens in Snipping Tool for editing, saving, and sharing.
- Open Snipping Tool from Windows.
- Choose the snip shape that matches the content: freeform, rectangular, window, or full screen.
- Capture the content.
- Use the Snipping Tool editing controls if needed, then save the image.
- In Word, choose Insert > Pictures and select the saved file.
Choose this route when you need to keep the capture outside Word, edit it before insertion, or capture a shape that is not convenient with Screen Clipping.

Place and format the inserted image
Word inserts the screenshot at the current cursor location. Before capturing, click in the paragraph, table cell, or other document position where the image belongs. After insertion, select the image to access Word’s picture-formatting tools. The exact ribbon labels can vary by Word edition, but the image remains an ordinary picture that you can format in the document.
- For a full-window capture, verify that the entire application window is visible before using the gallery.
- For a clipping, position the source window so the needed controls or content are visible and large enough to read.
- For a saved-file workflow, inspect the image in its viewer or Snipping Tool before inserting it so you do not have to recapture unnecessarily.
Which Word versions and platforms are covered?
Microsoft’s screenshot guidance lists Word for Microsoft 365 and Word 2024, 2021, 2019, and 2016, including Mac editions for the listed supported versions. Ribbon wording and feature availability can differ by edition. The direct Screenshot gallery described here is the Windows desktop workflow; Microsoft’s Mac instructions use macOS capture shortcuts followed by picture insertion.

Microsoft also reports that Insert Photo from Mobile Device was phased out in Office apps for Windows and the web effective August 22, 2025. That feature is not required for any method in this guide.
Troubleshoot missing windows, wrong regions, and unavailable captures
The window does not appear in Available Windows
Cause: Microsoft says minimized windows are not available to the gallery.

Fix: Restore the application from the taskbar, leave it open, return to Word, and open Insert > Screenshot again.
Screen Clipping captures the wrong application
Cause: The clipping command uses the first available window.
Fix: Activate the desired application before switching back to Word. Reopen the Screenshot menu so that window is first in the gallery.

The screenshot appears in the wrong place
Cause: Word inserts the image at the insertion point that was active when you selected the command.

You need another screenshot but Word keeps the previous one
Cause: Each invocation inserts one capture; it does not create a batch automatically.
Fix: Click the next insertion point and run Insert > Screenshot again.
The Mac shortcut worked, but Word cannot find the image
Cause: The capture is a file saved by macOS, normally on the Desktop under Microsoft’s documented instructions.

You need to edit a Windows capture before insertion
Fix: Use Snipping Tool, choose the appropriate snip type, edit and save the result, then insert the saved picture through Word’s Insert > Pictures workflow.
