Microsoft Teams AI meeting features have different license, language, recording, and permission requirements. Text-based intelligent recap requires a Copilot or Teams Premium license; audio and video recaps require Copilot. Whether a meeting must be recorded or transcribed depends on the feature, and the meeting organizer’s settings can restrict who may use the outputs.

Which Teams AI meeting features are available, and what license do they need?

Microsoft’s Meeting Recaps app separates text-based intelligent recap from audio and video recaps. Intelligent recap requires either a Microsoft Copilot license or a Teams Premium license. Audio recap and video recap require a Microsoft Copilot license. People without Copilot may still view a recording or transcript if they have permission to access it. Teams Premium’s feature overview also lists AI-assisted meeting notes and task assignment, live caption translation in 40 languages, personalized recording timeline markers, and AI-powered speaker suggestions in the transcript. Those features are part of Microsoft’s Teams Premium offering; the specific recap license rules above are stated separately in Microsoft’s Meeting Recaps documentation. [c01] [c09]

How do you enable or access AI features in a meeting?

Start with the meeting’s options and the license assigned to the person who needs the feature. Available controls vary by license and meeting context. Microsoft documents options for whether and when Copilot is allowed, automatic recording and transcription, who may record or transcribe, and multilingual speech recognition. [c04]

  1. Open the meeting options. In Teams, open the meeting and choose Meeting options. The exact route to that control can differ by Teams client and meeting context.
  2. Check Copilot and transcription settings. Choose whether Copilot is allowed during the meeting or after it, and whether transcription is enabled. If transcription is on, Copilot can be used after the meeting. If Copilot is limited to use during the meeting, Microsoft says transcription is not required for that in-meeting use. [c04]
  3. Set recording and transcript access. The organizer can allow access for everyone, organizers and co-organizers, or selected people. This setting also affects access to AI recap. [c03]
  4. After the event, open the recap or recording. A recap appears after the event has been recorded or transcribed, subject to the chosen feature’s requirements and your access permissions. [c02] [c05]

Which languages are supported?

Language support is feature-specific. Microsoft’s lists below are not interchangeable: a language supported for intelligent recap is not automatically supported for audio or video recap. Check the relevant Microsoft page before relying on AI output in a particular language, since supported languages can change.

Intelligent recap

Microsoft lists English, Chinese (Simplified, China), French, German, Italian, Japanese, Spanish, Portuguese, Dutch, Swedish, Danish, Finnish, Russian, Norwegian Bokmål, Korean, Chinese (Traditional, Taiwan), Polish, Turkish, Arabic, Hebrew, Portuguese (Portugal), Czech, Hungarian, Ukrainian, and Thai. The event’s spoken and transcribed languages must be supported for the AI features described on Microsoft’s intelligent recap page. [c05]

Video recap

Microsoft lists 23 languages across 31 language and regional variants: Arabic, Chinese (Simplified and Traditional), Czech, Danish, Dutch, English, Finnish, French, German, Hebrew, Hungarian, Italian, Japanese, Korean, Norwegian Bokmål, Polish, Portuguese, Russian, Spanish, Swedish, Thai, Turkish, and Ukrainian. Does a meeting need to be recorded or transcribed?

There is no single recording rule for every AI feature. A recap is available after a Teams event that was recorded or transcribed, and Microsoft recommends recording and transcribing for the best intelligent recap experience. The AI summary specifically requires transcription and an event lasting at least five minutes. [c05]

For an AI summary, transcription is required; the event must last at least five minutes. Recording is recommended for the best experience, but Microsoft’s stated summary requirement is transcription. [c05]

Video recap

The meeting must last 10–90 minutes, have cloud recording enabled, and be both recorded and transcribed. Video recap is not supported on Teams mobile. It becomes available 10–15 minutes after a successful recording and transcript upload, with timing varying by meeting length. [c06]

Audio recap

Audio recap requires transcripts. It can combine transcripts from up to eight meetings during a selected period. In this workflow, transcripts expire after 120 days unless deleted sooner, and an older transcript cannot be used to create an audio recap. Microsoft also notes that audio recap may be subject to daily usage limits. [c07]

Who can see the recap, recording, or transcript?

Organizers can set recording, AI recap, and transcript access to everyone, organizers and co-organizers, or selected people. The default is everyone, but the organizer can change it before the meeting. If the setting is changed during a meeting, the meeting must be ended and restarted for the change to take effect. [c03]

  • Attendees excluded from recording or transcript access cannot use transcript-based Copilot, even if Copilot is allowed during the meeting. [c03]
  • The access control is unavailable for channel and ad hoc meetings. Separate SharePoint permissions, sensitivity labels, or other permissions may also affect access. [c03]
  • For transcription-based Copilot after a meeting, make sure the attendee has access to the transcript as well as an eligible license and the relevant meeting features. [c03] [c04]

Where does Teams store meeting data, and should you trust the recap?

Microsoft says intelligent recap uses the event transcript, attendance data, and PowerPoint Live data. Event data is stored in the geographic region associated with the organization, and its handling depends on the organization’s IT policies. Recordings are stored in OneDrive and SharePoint under applicable Microsoft Purview policy. Ask your organization’s IT administrator about the tenant’s specific settings and retention rules. [c08]

AI-generated meeting content can be inaccurate, incomplete, or inappropriate. Microsoft advises users to review it; its video recap documentation states, “Video recaps are generated by AI and should be checked for accuracy.” Verify names, decisions, action items, and figures against the meeting before sharing or acting on a recap.
