Choose diagramming software by testing how well it fits your team’s real workflows—not by comparing feature lists in isolation. First identify the diagrams people create, who needs to edit or review them, which apps and file formats are already in use, what integrations are essential, and how sensitive the content is. Then test each candidate against the same collaboration, handoff, and governance scenarios.
Start with your team’s requirements
Write down the conditions a tool must meet before comparing products. A requirement such as “supports collaboration” is too broad to evaluate; specify who collaborates, from which app, and on what files.
- Diagram types: List the diagrams people actually maintain, such as basic flowcharts, UML, network diagrams, or BPMN. Note any specialized shapes, connectors, labels, comments, or embedded content that must remain usable.
- People and permissions: Identify authors, reviewers, occasional viewers, administrators, and external collaborators. Record whether outside sharing is permitted and who should be able to invite people or change access.
- Editing clients: Specify whether users need a desktop app, a browser-based editor, or both. Include the operating systems and app types they will use together.
- Existing files: Inventory the formats in circulation—such as VSD, VSDX, VDX, or diagrams.net files—and clarify whether users need to edit them, merely view them, or export them for another application.
- Integrations and storage: Name the required productivity tools, identity systems, and storage locations. Separate must-haves from conveniences.
- Data sensitivity: Classify the diagrams and list applicable requirements for access control, retention, data location, auditability, and contractual commitments.
Use these requirements to screen out unsuitable products. Then compare the remaining options against identical scenarios rather than treating similarly named features as equivalent.
Test collaboration in the actual editing workflow
Ask each vendor or administrator to demonstrate simultaneous editing using the clients, accounts, permissions, and storage locations your team expects to use. Confirm what happens when a reviewer has view-only access, when someone works outside the organization, and when an administrator changes sharing settings.

Visio’s coauthoring depends on app type and setup
Microsoft says people editing a Visio drawing simultaneously must use the same type of app: desktop or web. Its desktop coauthoring flow uses OneDrive for Business or SharePoint Online; Windows authors using the desktop app need Visio Plan 2. In the web workflow, coauthors need edit permission and a Visio for the web license. External viewing or sharing can also depend on an administrator enabling external SharePoint sharing. These conditions illustrate why a “real-time collaboration” label is not enough. Confirm the precise license, client, storage location, and permission path for the workflow you intend to deploy.

Check file compatibility beyond the extension
A file opening successfully does not prove that it will remain fully editable or preserve its appearance. Verify the diagrams and features your team depends on, then test the handoff in both directions when round-trip editing matters.
Visio format and diagram-type limits vary by plan
Microsoft says Visio in Microsoft 365 supports VSDX but not the older VSD format. Its feature comparison also distinguishes diagram types by plan: basic flowcharts are supported in Visio in Microsoft 365, while UML, detailed network diagrams, and BPMN are listed for higher plans. A drawing that relies on unsupported specialized shapes may be viewable or commentable in the basic web product without being editable there. Check Microsoft’s Visio plan and feature comparison against the specific diagrams and licenses you need.

Lucidchart’s documented file options need current confirmation
Lucid’s team materials describe importing Visio VDX, VSD, and VSDX and exporting to Visio, as well as revision history and administration for users, roles, groups, security, and document sharing. However, the page currently leads to broader hybrid-team information. Treat these format details as items to confirm in current product documentation or a vendor demonstration before relying on them. Lucid describes its team capabilities and integrations on its team page.
Miro’s imports and exports have specific limitations
Miro documents importing Lucidchart and diagrams.net files through VSDX, Visio VSDX, and OmniGraffle GRAFFLE, with imported shapes converted to Miro Diagram format. It documents image export as JPG, PDF, or SVG. Its help page describes the supported diagram imports.

Miro’s VSDX export is identified as an Enterprise feature in its reviewed help article. Miro warns that high fidelity is not guaranteed: fonts may be substituted and shift line breaks, connector labels have limitations, and freehand strokes may be redrawn. Prototypes, data tables and other views, comments, embedded content, and sticky-note reactions are not exported. Losses introduced during import carry through to a later export, so Miro recommends reviewing round-trip files in Visio. See its Visio export guidance.
Compare candidates against the same scenarios
For each tool that remains viable, score the scenarios below using evidence from current documentation, a vendor demonstration, or your own acceptance test. Record the applicable plan or license alongside each result; a feature that requires an upgrade is not equivalent to one included in the proposed deployment.

Run an acceptance test before migrating
Use real, representative files rather than a blank demo board. This is especially important when the team depends on specialized shapes, complicated labels, comments, connectors, or embedded content.

- Build a small acceptance set. Choose representative diagrams, including at least one with the specialized shapes and content the team cannot afford to lose.
- Invite actual user roles. Include the people who will edit, review, administer access, or collaborate externally. Use the clients and accounts planned for deployment.
- Exercise collaboration and permissions. Edit together, review with limited permissions, and test external access if it is part of the intended workflow.
- Import, edit, and export. Move copies of the files through the proposed workflow, then open the exported or migrated versions in the destination application.
- Record differences and dependencies. Note content that changes or disappears, any plan or license required, and any settings needed to make the workflow work. Decide whether each issue is acceptable before migrating more files.
Evaluate privacy and governance separately from feature claims
Compare practical controls and contractual fit, not just security language on a product page. Microsoft’s Visio page describes persistent protection and Information Rights Management, and lists security, compliance, and data privacy among Microsoft 365 plan features. These are vendor statements; whether a particular deployment meets an organization’s policies depends on its configuration and requirements. The page is Canadian, so its displayed plan and pricing details should not be generalized to other regions. See Microsoft’s Canadian Visio product information.
Lucid describes SaaS delivery, integrations, and an information-security governance program in its security whitepaper. That vendor-authored description does not by itself establish the controls or terms applicable to a particular customer. Review the Lucid security whitepaper alongside current product and contract documentation.
Ask each shortlisted vendor for current, applicable answers on data location, retention and deletion, subprocessors, access logs, identity controls, external sharing, AI feature data handling, encryption, and contractual commitments. Which answers are necessary depends on your jurisdiction and organizational policy. Do not infer a data-residency option, retention term, certification, or policy fit that the vendor has not explicitly confirmed.
