The exact import method, identifier rules, and retention requirements depend on your source and destination systems, so confirm them before loading production data.
What should the migration include?
Start by agreeing what “purchasing” means for this project. Microsoft describes source-to-pay as a process spanning the initial procurement request through payment to the supplier, including record keeping and reporting. It also notes that organizations vary and that its overview excludes goods receipt. Use that as a scope prompt, not a universal boundary: Microsoft’s source-to-pay overview.
Decide whether the migration covers supplier onboarding, sourcing, contracts, requisitions, purchase orders, goods receipt, invoice processing, payments, historical records, and reporting. Identify which system will own each stage after go-live, including any ERP or finance system that remains authoritative for supplier or payment data. This prevents a “successful” import from leaving a gap between systems or an unclear owner for updates.
Set boundaries and owners
- List the business units, legal entities, regions, and purchasing categories moving in this phase.
- Mark each process stage as in scope, out of scope, or dependent on another system.
- Name an owner for supplier master data, workflow rules, integrations, reporting, and migration sign-off.
- Document which historical records must remain accessible and where they will live after cutover.
Retention obligations depend on jurisdiction, company policy, and the systems involved; confirm them with the appropriate legal, records, or compliance owner rather than assuming the new platform should contain every historical record.

How do you inventory and prepare supplier data?
Do not treat a supplier record as just a company name and address. SAP Business ByDesign’s supplier migration documentation lists general characteristics, purchasing data, addresses, collaboration data, contacts, payment data, bank data, tax data, notes, and attachments among supported content. That is an example of possible data domains, not a schema that applies to every platform: SAP Business ByDesign supplier migration configuration.

For each field, record its source, destination field, format or transformation, required/optional status, owner, validation, and treatment when it cannot be mapped. Identify duplicates, stale contacts, incomplete tax or payment details, and inactive suppliers before migration. These are practical controls: supported fields and transfer pathways vary by product and configuration.

Choose an identifier strategy before loading
Decide whether destination records should retain legacy supplier IDs, map to ERP vendor IDs, or receive new destination IDs. Maintain a crosswalk between old and new identifiers so you can reconcile records, resolve support cases, and trace transactions that refer to a legacy value.
The consequences are platform-specific. In SAP Business ByDesign, administrators can retain legacy supplier IDs or let the system assign new ones. SAP Ariba’s Unified Vendor Model guidance says an ERP vendor ID is required and cannot be updated after migration; the guidance also describes organization-ID prioritization and circumstances in which an ID may be generated. Confirm the destination’s own rules before choosing values: SAP Ariba ERP vendor ID migration options.

How do you migrate purchase approval workflows?
Rebuild the intent of the workflow, not just its diagram. Microsoft’s procurement workflow guidance describes configurable routing, while its purchase requisition guidance distinguishes routing an entire requisition from routing individual lines. Depending on configuration, reviewers can be assigned through groups, roles, hierarchies, named users, and certain project roles or financial-dimension owners. Write down the rules that drive routing
- Which purchases require review, and which are eligible for automatic approval?
- What amount thresholds, cost centers, legal entities, categories, or funding sources change the approval path?
- Does approval apply to the whole requisition, or can individual lines have different reviewers?
- Are approvers selected by role, reporting hierarchy, group, named user, project role, or financial dimension?
- What happens when an approver is unavailable: delegation, reassignment, escalation, or a hold?
- How are rejections, edits, resubmissions, and approval history handled?
Capture exceptions as explicit rules with an owner. A workflow that works for a typical request can still fail on a split-cost requisition, a missing approver, or a purchase routed to a different legal entity. Microsoft notes that a purchase requisition workflow can be configured to skip review tasks and automatically approve a requisition; use automation only where the business has approved the conditions and control implications.

Compare current and future behavior
For each important scenario, document the current outcome and the intended destination outcome: who submits, which control points apply, who approves and in what order, how absence or rejection is handled, what record is retained, and what the requester sees. Include representative cases such as a routine low-value request, a request crossing an approval threshold, a requisition with differently funded lines, and a request with an unavailable approver. Have procurement and finance owners validate the expected outcomes before configuring the destination.

Choose a method supported by both the actual source and destination, not by analogy with another product. SAP Ariba documentation describes manual CSV import and SAP ERP integration for a particular Strategic Sourcing scenario, and related supplier data may have separate import steps. Those are product-specific paths, not interchangeable options for every platform: SAP Ariba’s documented manual-import or ERP-integration scenario.

Ask the platform teams whether the destination supports a migration utility, file import, API, ERP connector, or a combination. Compare source and destination capabilities, expected data volume, transformation needs, integration ownership, post-cutover synchronization, and who will monitor failures. A one-time file load may suit a controlled conversion but leave ongoing updates unresolved; an integration may keep records synchronized but requires clear ownership and operational support.
How should you test, reconcile, and cut over?
SAP’s current Help Portal guide for migration to the Unified Vendor Model, with version 2605 shown in the search result, organizes work into preparation, prerequisite setup, migration, and post-migration phases. Use those as a useful planning sequence, while following the instructions and dependencies for the specific destination: SAP’s supplier migration steps.
- Prepare: confirm scope, owners, identifier policy, source extracts, field mappings, exclusions, and approval-rule documentation.
- Set prerequisites: configure destination structures, permissions, reference data, integrations, and required workflow roles before loading dependent records.
- Run a representative rehearsal: migrate a sample that includes ordinary records and known edge cases; test mappings, identifiers, attachments, and workflow outcomes with business users.
- Reconcile and resolve: compare source and destination record counts and critical values, confirm identifier crosswalks, inspect rejected or transformed records, and assign each exception to an owner.
- Approve production cutover: agree the data freeze or delta-transfer approach, sequence, go/no-go checks, communications, fallback criteria, and responsibilities in a runbook.
- Monitor after go-live: check failed imports or integrations, workflow status and history, user-reported exceptions, and completion of post-migration tasks.
Set acceptance thresholds with the project owners; the reviewed product documentation does not establish a universal error tolerance, schedule, or reconciliation threshold. Do not treat record counts alone as proof: confirm that identifiers, payment-critical fields, organizational links, and approval outcomes behave as intended.
What can change the plan?
Source and destination products, jurisdiction, data volume, integrations, required history, and the desired process changes are not specified here. Any of them can affect supported fields, identifier rules, import formats, retention, sequencing, and fallback design. Before making platform-specific configuration decisions, verify current product documentation and involve the system, data, procurement, finance, IT, and compliance owners responsible for the environment.
