Protecting business information is a management process, not a single product. Start by knowing what data you hold, reduce what you retain, restrict who can reach it, block common account attacks, keep systems patched, maintain recoverable backups and rehearse what happens when something goes wrong.

The Federal Trade Commission (FTC) puts the business impact plainly: “Your business can’t afford to lose time, information, or money to cyberattacks.” The 17 controls below are designed for small and midsize organizations that need practical priorities rather than an abstract security program.

There is no universal breach probability or cross-industry dollar loss that applies to every company. Your exposure depends on the information you collect, the systems and vendors you use, your industry and how quickly you can detect and recover from an incident.

How to use this security checklist

Assign an owner for each control, record its current state and set a review date. Begin with identity, patching and backups because a compromised account or unworkable recovery plan can undermine every other safeguard. Then work through data handling, monitoring, training, vendors and physical protection.

The 17 security tips

1. Inventory the information you hold

Create a living map of customer records, employee files, financial data, intellectual property and operational information. For each data set, record where it is stored, how it moves, who uses it, how long it is kept and which vendors can reach it. Include email attachments, spreadsheets, paper files, laptops, phones, removable media, SaaS applications, databases and backups.

An inventory exposes forgotten copies and concentration risk. It also gives you a list to use when deciding what to delete, encrypt, monitor or isolate. Recheck it when systems or business processes change.

2. Collect and retain less

Keep information only while it serves a defined business purpose. Write retention periods for each category and assign someone to enforce them. Delete obsolete exports, duplicate reports and dormant accounts rather than allowing them to become permanent breach targets.

Deletion must be secure: shred paper, use a documented digital-erasure process and sanitize devices before disposal or reassignment. Ask vendors to delete your data when a contract ends and obtain confirmation when appropriate.

3. Classify sensitive data

Label records according to the harm their exposure could cause. A simple scheme such as public, internal and confidential is usable if employees understand it. Mark payment information, identity documents, health information, payroll, credentials and proprietary material as requiring stronger handling.

Classification should drive controls: confidential files may require encryption, limited sharing, shorter retention and additional approval. Put the label in file names, document headers or system metadata so it remains visible when information is copied.

4. Limit access by need to know

Give each person a separate account and only the permissions required for current duties. Avoid shared administrator logins; they make accountability and rapid revocation difficult. Use role-based groups where possible, and review privileged access more frequently than ordinary access.

Make vendor access time-limited and scoped to the specific system or task. Remove permissions promptly when someone changes roles, leaves the organization or no longer needs a service. Keep an access review record showing who approved exceptions.

5. Use long, unique passwords

FTC guidance describes a strong password as at least 12 characters. Prefer a long passphrase that is difficult to guess and never reuse a password between business systems or between work and personal accounts. Do not share passwords in email, chat or spreadsheets.

Change a password when it may have been exposed, when a person leaves, or when a provider reports a compromise. Length and uniqueness matter more than forcing arbitrary mixtures that employees then write down or reuse.

6. Adopt a business password manager

NIST recommends considering a password manager to create and store strong, unique credentials. A business service can enforce sharing rules, separate personal and corporate vaults, support employee offboarding and show whether credentials are reused.

Protect the manager account itself with multifactor authentication (MFA), a recovery process kept under company control and a small number of carefully managed administrators. Do not place the only copy of recovery information inside the same account that is locked or compromised.

7. Require phishing-resistant MFA

Enable MFA on email, financial services, administrator consoles, remote access, password managers and any other service that supports it. CISA and NIST recommend MFA wherever available and prefer phishing-resistant methods. A FIDO2 security key is a physical option that verifies the legitimate sign-in site rather than relying on a code an attacker can trick a user into disclosing.

Use the strongest available method for high-impact accounts. If a service offers only text messages or app codes, enable that protection while documenting the limitation, then monitor the provider for stronger options. Issue spare keys or a controlled recovery route so a lost device does not become a reason to disable MFA.

Approach Phishing resistance Deployment and recovery considerations
FIDO2 security key High; designed to resist fraudulent sign-in sites Requires issuing, registering and replacing physical keys; keep a recovery key under controlled custody
Authenticator app approval or code Better than a password alone, but codes or approvals can be socially engineered Requires enrollment and a process for a lost or replaced phone
Text-message code Lower; use when stronger methods are unavailable Depends on mobile-service availability and a reliable number-change process

8. Patch and update automatically

Turn on automatic updates where they will not disrupt critical operations, and establish a scheduled maintenance window for systems that need testing. Cover operating systems, browsers, applications, firmware, network devices and security tools. Updates often fix vulnerabilities that attackers already know how to exploit.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Maintain a list of unsupported software and replace or isolate it. If an urgent security update cannot be installed, document the reason and apply a temporary compensating control such as restricting network access.

9. Protect endpoints

Use current antivirus or endpoint-protection software on computers and servers, and ensure it receives updates. Configure automatic screen locking, require a password or biometric unlock and encrypt portable devices. Remove applications that are no longer supported or needed.

Standardize device configuration so a new laptop or phone receives the same baseline protections. Keep an ownership record for every endpoint and a procedure to remotely lock or wipe a lost device when the platform supports it.

10. Encrypt data at rest and in transit

Encrypt laptops, phones, removable media, backups and cloud storage that contain sensitive information. Use protected channels when sending confidential files; avoid placing sensitive data in an unprotected attachment when a secure sharing method is available.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Manage encryption keys and recovery codes separately from the data they protect. Test that authorized staff can recover encrypted files, while ensuring a stolen device or intercepted connection does not yield readable content.

11. Secure Wi-Fi and routers

Replace default administrator usernames and passwords on routers and access points. Disable remote administration unless it is required and then restrict it to approved addresses or a secure management path. Log out of administrator sessions and keep network firmware current.

  • Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft

Use WPA2 or WPA3 encryption, create a separate guest network and avoid putting unmanaged visitor devices on the same network as business systems. Change wireless credentials when staff with access leave or when you suspect they have been exposed.

12. Back up routinely

Back up important files and the full environment on a schedule matched to how much work the business can afford to lose. Include configuration data, databases, critical SaaS exports and system images where relevant. At least one copy should be disconnected from the network so ransomware cannot encrypt every copy through a compromised account.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Limit who can delete or alter backups, protect the backup console with MFA and monitor for unusual deletion or volume changes. A connected cloud-sync folder is useful for collaboration but is not, by itself, an isolated recovery copy; deletions and encrypted files can synchronize everywhere.

13. Test restoration

A backup is only useful if the business can restore it. On a schedule, restore individual files, a complete system and a representative cloud export to a separate environment. Record how long each recovery takes, what dependencies were missing and who must approve a return to production.

Update the backup design when a test reveals gaps. Keep restoration instructions accessible during an outage, including credentials or keys held through a controlled emergency process rather than on the failed network.

14. Log and monitor

Collect useful logs from identity systems, endpoints, firewalls, cloud services and critical applications in a place attackers cannot quietly alter. Alert on events such as impossible travel, repeated failed sign-ins, new administrator privileges, unusual data downloads, disabled security tools and unexpected backup changes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Assign people to review alerts and define response times. CISA notes that early detection can prevent a larger breach and reduce ransomware impact. A log that nobody checks is evidence storage, not an active detection capability.

15. Train staff and rehearse phishing reporting

Teach employees to inspect the real destination of links, treat unexpected attachments as suspicious and verify urgent payment, password or data requests through a known phone number or separate channel. Explain that attackers may impersonate executives, suppliers or support staff.

Provide one obvious reporting route, such as a security mailbox or help-desk option, and make clear that quick reporting is more valuable than blame. Rehearse the process with simulated examples or short exercises, then correct recurring misunderstandings.

16. Prepare an incident-response and continuity plan

Write down what happens when an account, device or network is suspected to be compromised. Define who can isolate systems, preserve evidence, investigate, approve public communications, contact legal or regulatory advisers, notify customers and coordinate recovery. Include alternate communication methods in case company email is unavailable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Pair response with continuity: identify essential processes, acceptable downtime, manual workarounds, key suppliers and the order in which systems must return. Practice the plan at least periodically and after major changes. A plan that exists only in an inaccessible file will not help during an outage.

17. Secure vendors and physical assets

Before granting a supplier access, determine what information it needs, how long access lasts and how it protects accounts and data. Put confidentiality, security duties, incident notification and access termination in the contract. After a vendor reports an incident, confirm which systems and records were affected and verify that corrective actions are complete.

Physical controls matter as much as settings. Lock rooms containing network equipment and paper records, use cable locks or secured storage for portable devices and restrict visitor access. Destroy paper and storage media securely instead of placing them in ordinary trash.

Which safeguards deserve priority?

If resources are limited, prioritize controls that reduce account takeover and preserve recovery. The table below separates prevention from the ability to continue operating after an attack.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Control area Primary protection What to verify
Identity Unique passwords, password manager and phishing-resistant MFA All high-impact accounts enrolled; leavers removed; recovery method tested
Systems Automatic patching and endpoint protection Updates current; unsupported software listed and isolated or replaced
Data Minimization, classification and encryption Retention rules enforced; confidential data identified; keys recoverable
Recovery Routine backups plus a disconnected copy and restoration tests Restore time recorded; backup deletion protected; offline copy available
Detection Central logs and assigned alert review High-risk events generate alerts and have an owner and response deadline
People and suppliers Training, rehearsals, contracts and physical security Reports are easy to make; vendor access is scoped; media disposal is documented

A practical 90-day rollout

  1. Days 1–15: inventory data, systems, accounts and vendors; identify administrators; enable MFA on email, finance and remote access; change reused or exposed passwords.
  2. Days 16–30: turn on automatic updates, remove unsupported software, verify endpoint protection, secure routers and establish a password-manager recovery process.
  3. Days 31–60: classify sensitive data, set deletion schedules, encrypt portable devices and cloud stores, configure logging and assign alert reviewers.
  4. Days 61–75: implement scheduled backups with one disconnected copy, restrict backup administration and perform a documented restoration test.
  5. Days 76–90: train staff, rehearse phishing reporting, finalize incident and continuity procedures, review vendor contracts and inspect physical storage and disposal practices.

After the first 90 days, use the same evidence—access reviews, patch status, alert records, restoration results and exercise findings—to set the next quarter’s priorities. Security improves when these checks become routine business operations rather than a one-time project.
