Start with the response, not a guess. An HTTP status code narrows the search, but the provider’s error body, provider-specific code, headers and request ID usually identify the real cause. Capture those details, then check the request contract, credentials, permissions, limits, network path and service health in that order.

This guide gives a repeatable workflow for 400, 401, 403, 404, 429 and 5xx failures, safe retry logic, minimal reproductions and an escalation packet that does not leak secrets.

A five-minute triage workflow

  1. Capture the failure. Record the method, complete endpoint path and API version, timestamp with time zone, status, response body, relevant non-secret headers, request or correlation ID and the input shape. Redact API keys, tokens, cookies, personal data and confidential payloads before sharing logs.
  2. Compare the request with the endpoint contract. Verify the HTTP method, URL and path parameters, query names, content type, required headers, JSON syntax, nesting, field types and required values for that exact version. A payload valid for one endpoint is not necessarily valid for another.
  3. Check identity and access. Confirm that the credential is present, active, unexpired, assigned to the intended project or organization and granted the required scope or role. Test access to the particular resource, not merely access to the API generally.
  4. Separate limits from request defects. For 429 and similar responses, inspect the body and headers for rate, quota, credit or spending-limit clues before retrying.
  5. Assess transient service failure. For 5xx responses, check the provider’s status information and error detail. Retry only when the operation is safe to repeat and the provider’s idempotency guidance allows it.
  6. Isolate your application. Run a minimal, carefully redacted request from the command line or a small script. If it fails too, focus on the contract, account or service. If it succeeds, inspect serialization, environment variables, proxies, firewalls, TLS and application retry behavior.
  7. Escalate with evidence. Send the exact error text and code, request ID, time zone-stamped occurrence, applicable limit, sanitized request details and steps already tried. Never send authentication secrets; the OpenAI Help Center explicitly advises, “Do not include API keys or other authentication secrets.”

How to read an API error response

Use status as a starting clue rather than a diagnosis. Providers can assign the same status to different conditions, and some deliberately hide whether a resource exists. Read fields such as code, error, message, type and details, plus headers such as Retry-After, request IDs and rate-limit counters. Zoom’s API guidance, for example, tells developers to inspect the body’s code and message alongside the HTTP status.

Keep the original secure log internally, but use a redacted copy for tickets, chat and bug reports. Do not put keys in shell history, screenshots, URLs, crash reports or source-control commits.

400 Bad Request: malformed or invalid input

A 400 commonly means the server could not accept the request’s syntax or values. GitHub documents invalid JSON as one possible cause, but the exact conditions are provider-specific.

Checks that find most 400s

  • Confirm the endpoint path, API version and HTTP method.
  • Validate JSON with a parser; check commas, quotes, braces, escaping and duplicate or misspelled fields.
  • Send the documented Content-Type: application/json when a JSON body is required.
  • Check required fields, allowed enum values, number-versus-string types, nesting and null handling.
  • Verify query parameters are URL-encoded and path parameters contain the expected identifier format.
  • Compare the request against a current provider example for the same endpoint, not a neighboring endpoint.

Minimal reproduction

If this works while your application fails, diff the serialized bytes, headers and URL generated by the application. Logging a parsed object is not enough; log a redacted representation of the actual request shape.

401 Unauthorized: authentication failed

A 401 usually directs attention to authentication. Check that the credential is sent in the header or parameter required by the provider, has not expired or been revoked, and belongs to the intended account, project or environment.

  • Verify the scheme and spelling, such as Bearer, and remove accidental quotes or whitespace.
  • Check environment-variable loading in the process that actually makes the request; a local shell and a container may have different values.
  • Confirm you are using a production key with a production endpoint, or the matching sandbox pair.
  • Rotate a suspected leaked key, then update every deployment that used the old value.
  • Inspect the body for distinctions such as missing, invalid, expired or revoked credentials.

Do not “fix” a 401 by retrying the same secret repeatedly. That can trigger lockouts and obscures the original evidence.

403 Forbidden: authenticated but refused

A 403 often indicates missing permission, a policy restriction, an IP or organization rule, or a provider-specific rate condition. Check the token’s scopes, role bindings, project membership, resource ownership and network allowlists. Some services also use 403 for policy checks that are unrelated to the resource itself.

Permission isolation

  1. Call a harmless endpoint that reports the authenticated identity, if the provider offers one.
  2. Call the target resource with a credential known to have the required role, in a controlled environment.
  3. Compare the scopes and project or organization context of the two credentials.
  4. Check policy, region, IP, User-Agent and organization restrictions documented for that API.

Keep the provider’s exact error code. “Forbidden” alone is not enough to tell an administrator which permission to grant.

404 Not Found: path error or hidden access?

Check the URL path, identifier spelling, API version, account or project context and resource state. Do not assume the resource is absent: some services intentionally return 404 when the caller lacks access to a private resource, preventing information disclosure. GitHub and other provider documentation describe this pattern.

  • Copy the identifier from a successful list response rather than typing it.
  • Confirm the resource belongs to the same project, tenant or region as the credential.
  • Test with an authorized identity in a safe environment.
  • Check whether a deleted, archived or not-yet-provisioned resource has a different endpoint.

429 Too Many Requests: throttle, quota or billing control

A 429 can mean temporary request throttling, but it can also mean exhausted credits, a monthly quota or a spending limit. Read the response body and all relevant headers before deciding to retry. Retries do not restore an exhausted quota or payment limit.

Distinguish the limit

  • Rate throttle: often includes Retry-After or remaining-window headers and clears after a short wait.
  • Quota or credits: may identify a project, organization, token or period that is exhausted; wait for reset or increase allocation.
  • Spend control: requires an account or billing-setting change, not more requests.
  • Concurrency cap: reduce parallel workers and queue work.

Bounded exponential backoff with jitter

Honor a valid Retry-After value for at least that duration. If it is absent, slow the client and use capped exponential delays with random jitter. Cap both attempts and total elapsed time, and account for retries performed automatically by your SDK.

Retry only errors documented as transient. Do not stack an application retry loop on top of an SDK loop without calculating the combined request volume.

500 and 503: transient server conditions

A 500 or 503 can reflect a provider fault, overload, deployment or dependency failure. Inspect the body and request ID, check the provider’s incident page, and retry after a delay only when the operation is safe to repeat. OpenAI’s guidance treats 500 as a reason for a brief wait and 503 as overload requiring a Retry-After-aware delay; that advice is provider-specific, not a universal contract.

Protect mutating operations

A retry of a GET is usually easier to reason about than a retry of a request that creates, charges or deletes data. Use the API’s idempotency key mechanism when provided. If there is no such mechanism, query the resource or operation status before repeating it, and record your client-side request ID so duplicate effects can be detected.

When the minimal request works but the app does not

  • Serialization: inspect the exact bytes, character encoding and omitted null or false values.
  • Configuration: print the selected host, API version and credential identity in a safe diagnostic form.
  • Proxy or firewall: compare direct and corporate-network requests; inspect proxy authentication and allowlists.
  • TLS and clock: update the trust store and verify system time for certificate and signed-request validation.
  • Retries: inspect timeouts, duplicate middleware and whether a retry changes the request body or idempotency key.
  • Concurrency: reproduce with one worker before increasing parallelism.

Provider differences that change your diagnosis

Status semantics are conventions, not a cross-provider law. Compare these axes in the target API’s current documentation:

Question Why it matters
What does each status and provider error code mean? The same 403 or 429 may represent different controls.
Which headers describe limits and retry timing? They determine whether waiting can help.
Are inaccessible resources masked as 404? A path that looks wrong may actually reflect missing access.
How are scopes, roles and policies reported? The body may identify the missing permission—or intentionally omit it.
What request ID and support fields are returned? They let support find the server-side event.

Google Cloud, GitHub, Salesforce, Zoom and OpenAI each document provider-specific mappings and fields. Defer to the target API’s current documentation, account settings and region or edition requirements.

How to escalate without slowing resolution

  1. State the expected result and the smallest request that fails.
  2. Include method, endpoint and version, sanitized parameters or body shape, status, provider error code and exact message.
  3. Add the request or correlation ID, timestamp with time zone, relevant limit headers and the account or project context (not the secret).
  4. List credential, permission, quota, minimal-request and status-page checks already completed.
  5. Attach a reproducible command with secrets replaced by environment variables.

Ask the provider which contract, policy or limit generated the code. Avoid sending a full production dump when a few redacted fields demonstrate the problem.

Frequently Asked Questions

Should I retry every API error?

No. Retry only documented transient conditions such as temporary throttling or some 5xx responses, with bounded backoff and an operation-safe idempotency strategy. Fix malformed requests, credentials, permissions and exhausted quotas instead.

Why can a real resource return 404?

Some APIs deliberately mask inaccessible private resources as 404. Verify the identity, project or tenant and permissions before concluding that the identifier is wrong.

What should I give API support first?

Provide the exact error code and message, status, request ID, timestamp with time zone, sanitized request shape, applicable limit and steps already tried. Never include API keys or other authentication secrets.
