Use a complete-page HTML save when you need the page to reopen offline with its assets, or save as text when only the words matter. The right choice depends on whether you value a single portable file, offline browser access, visual fidelity, or a lightweight record.
Choose the document format first
A webpage is a live interface, not a finished document. The format you choose determines what survives after the page changes or goes offline.

Save a webpage as a PDF
PDF is the quickest general-purpose document because it produces one file that other people can open and print. The exact labels vary by browser version; the workflow below uses the documented controls in Microsoft Edge and Firefox.
1. Open and prepare the page
- Open the exact URL you want to preserve.
- Wait for the article, tables, images, and other required content to finish loading. Scroll through long pages if that triggers lazy-loaded images.
- If advertising or site navigation makes the page difficult to read, enable Immersive Reader in Edge or Simplified format in Firefox when the browser offers it. These modes are page-dependent.
2. Open print preview
In Edge on Windows, press Ctrl+P; on macOS, press Command+P. You can also use the browser menu and choose Print. Firefox’s print preview provides a Save to PDF destination.

3. Set the page layout
- Destination: choose Save to PDF or the operating system’s PDF destination.
- Page range: print all pages or only the pages containing the material you need.
- Orientation: use portrait for ordinary articles and landscape for wide tables or code.
- Paper size: select the size your readers or printer expect.
- Scale: reduce it when columns or code are cut off; increase it only when the preview remains within the margins.
- Margins: adjust them to prevent clipping and to leave room for binding or notes.
- Headers and footers: turn them off for a cleaner document, or leave them on when the URL, title, or date is useful context.
- Background graphics: enable this option when colors, shaded code blocks, or background images carry meaning.
4. Inspect the preview before saving
Check several pages, not just the first. Pay special attention to pages with tables, images, multi-column sections, or code. Print styles supplied by the website can hide menus, change fonts, or rearrange content; a responsive layout may also reflow at the selected paper width.
5. Save and verify the file
Use a descriptive filename such as article-title-2026-09-29.pdf. Reopen the saved PDF and check that important text, links, images, and page breaks survived. Keep the source URL and capture date with the file when the document is being used as a record.
Save the complete webpage for offline reading
Choose this method when you need to reopen the page in a browser rather than share a fixed, paginated document. In Firefox, use the browser menu’s Save Page command and choose the complete-page option. Firefox creates an HTML file and a new directory containing pictures and other files needed to display the page.
- Open the page and wait for the content you need to load.
- Choose Save Page from the browser menu.
- Select the complete-page format rather than HTML-only or text-only.
- Save to a folder where you can keep the generated HTML file and its supporting directory together.
- Test the copy by disconnecting from the network or opening it in a separate browser profile.
Do not rename, move, or email only the HTML file while leaving its asset folder behind. The offline copy may contain several files, and missing that relationship is the most common reason it opens with broken images or styling. Login-protected, highly dynamic, and interactive content may still be incomplete because the saved copy is not a running version of the original application.

Save only the text
Text is appropriate for notes, indexing, or a small archival record where layout and images are irrelevant. Firefox documents saving the original page as a text file. Expect headings and words to remain while images, visual hierarchy, links as clickable controls, and interactive widgets disappear. For a readable but cleaner visual record, use Reader or Simplified mode first and then print that version to PDF instead.
Why a PDF differs from the live webpage
A PDF is generated through the page’s print representation, not by freezing every pixel of the screen. Websites commonly provide print-specific CSS that removes navigation, changes colors, hides controls, or reorders sections. The browser also lays out the page at the selected paper size, so a design that fits a wide monitor may wrap into more pages.
- Missing colors or backgrounds: enable Background graphics in print settings when available.
- Ads or navigation dominate: switch to Edge Immersive Reader or Firefox Simplified format before printing, if offered.
- Content is cut off: lower the scale, change orientation, widen the paper size, increase margins, or print a narrower page range.
- Images are absent: wait for lazy-loaded media, scroll through the page, then reopen print preview.
- Interactive material is blank: static output cannot reproduce every video, form state, live chart, or application session. Record the URL and capture date, and keep the live link separately.
Automate webpage-to-document capture in an application
If your software embeds a Chromium-based browser, Microsoft WebView2 exposes ShowPrintUI, Print, PrintToPdf, and PrintToPdfStream. Microsoft describes PrintToPdf as silently printing the current top-level document to a PDF file, while PrintToPdfStream returns a PDF stream for application handling. This approach is useful when a desktop or service must generate documents without a person operating the print dialog.
Automation still needs the same safeguards as manual capture: wait for the page to finish loading, authenticate before printing when permitted, choose a deterministic viewport and paper size, and handle navigation or script failures. Save the source URL, capture time, and any relevant settings with the generated file.

The PDF is empty or stops before the article
Return to the page, wait for network activity and lazy content to finish, then reopen print preview. A script error, login redirect, bot check, or timeout can leave the browser with less content than the URL suggests. For a protected page, authenticate in the same browser session before printing and confirm the rendered article is visible.

The right side of a table is missing
Switch to landscape, choose a wider paper size, reduce scale, or print only the relevant pages. Inspect the preview at the actual paper width rather than relying on the on-screen page.
The offline HTML copy has broken images
Move the HTML file and its generated asset directory together. If the copy still fails, save the complete page again after all images have loaded; a text-only or HTML-only save does not include the required assets.

Refresh the live page, verify the account and date shown on screen, and capture again. A PDF or saved webpage is a snapshot; it does not refresh when the underlying application changes.
The file is too large to send
For PDF, reduce image-heavy pages by using a lower scale only if text remains legible, remove unnecessary page ranges, or use text format when visual content is not needed. For offline HTML, compress the HTML file and its asset directory together rather than deleting individual assets.

Practical archiving habits
- Use filenames containing the page title and capture date.
- Store the canonical URL, access date, and any login or filter context in a companion note.
- Reopen every important file immediately after creation.
- Keep the complete HTML asset folder intact when offline reopening matters.
- Use PDF for a stable handoff, HTML for browser-based offline reading, and text for durable content extraction.
Frequently Asked Questions
Can a saved webpage serve as a permanent legal or compliance record?
Treat it as a snapshot rather than proof that the page looked the same at another time. Preserve the original URL, capture date, account or filter context, and the unmodified file; retention and evidentiary requirements should come from your organization’s policy or counsel.
Should I save both PDF and complete HTML?
Do so when the material may need both a fixed, shareable presentation and a browser-reopenable copy. They preserve different properties, so one does not replace the other.

Reveal the content in the live page before printing or saving, and verify it appears in preview. If the interaction depends on a live session or script, document that limitation because a static file cannot reproduce the application state.
