Back up your files and important app data, verify that the backup is usable, and then follow the current instructions for your exact device and repair provider. Don’t factory-reset by default: a reset can destroy the only copy of your data or interfere with diagnostics. Before handing over the device, ask whether the repair may erase it and what access the technician needs.
Start with a backup you can actually restore
Make a backup before service, then check that it completed and that you know how to retrieve it. A backup may not include every app, account, or setting, so check the items you most need rather than assuming everything is covered. Apple recommends backing up an iPhone or iPad before service and backing up a Mac in case its startup disk must be erased or replaced. Microsoft warns that some Windows recovery options can cause data loss and advises backing up important files. Apple’s iPhone and iPad service preparation, Apple’s Mac service preparation, and Microsoft’s Windows recovery guidance explain their respective requirements.
- Check the backup status and, if practical, open a few backed-up files.
- For a laptop, consider keeping a second copy on an external drive as well as any cloud backup. These are options, not guarantees that every app or account is included.
- Keep recovery keys somewhere you can access without the device being repaired. For Windows devices using BitLocker, Microsoft says most Windows Recovery Environment recovery options require the BitLocker recovery key. Don’t send it to a repair provider as a routine step.
Ask what the repair requires before changing the device
Repair instructions depend on the model, operating system, service provider, and whether the repair is in person or by mail. Check the maker’s current instructions for your exact device and ask the provider whether data may be erased, what access it needs, and whether a backup or reset is required. A diagnostic mode or limited-access option may be available, but it may not support every repair.
If a provider asks for your passcode, ask why and whether there is a lower-access way to perform the work. Don’t share account passwords or security details casually. Apple’s instructions for its iPhone and iPad service process say: “Never give your Apple Account password, device passcode, or account security details to anyone else.” If software support requires you to enter credentials, Apple says to remain present while the technician has access. That is Apple’s guidance for its service pathway, not a universal rule supplied by every independent shop.

Prepare an iPhone or iPad
For the service process described by Apple, back up the device, allow iCloud features to finish syncing, and turn off Find My. Apple says the device may be erased during service. If it is unresponsive, complete as many preparation steps as possible; Apple notes some steps may be completed through the Apple Account page or iCloud Find Devices. Check Apple’s current instructions because steps can vary with software version and service eligibility: Prepare your iPhone or iPad for a service appointment.
After service, check whether the device was erased. Restore from the intended backup or set it up as new. Apple cautions that restoring an older backup may be unwise if a newer backup has overwritten it. Turn Find My back on after the service flow if you turned it off.

Prepare a Google Pixel or another Android phone
Google Pixel
On supported Pixel devices, Repair mode starts a clean Android OS in a dedicated secure partition with limited functions, which can reduce exposure of personal information during repair. Check whether your exact Pixel supports it and follow the current on-device instructions. Google also advises removing the SIM before sending a device to repair services. Other Android phones
The Pixel instructions do not establish that other Android phones have the same mode. Check your manufacturer’s repair guidance and the provider’s instructions instead. A removable SIM or SD card can be kept with you when the service instructions allow it. An eSIM is not a removable card; follow your carrier’s and manufacturer’s guidance for transfer or account access rather than trying to remove it as if it were a physical SIM.

Prepare a Mac
Back up the Mac first: Apple says the startup disk may need to be erased or replaced during service. Its service instructions describe Find My steps that depend on macOS version and include options such as turning on FileVault or erasing all content and settings if you are concerned about data security. These are choices tied to your security needs and the repair; Apple does not say every Mac repair requires a wipe. Ask the provider before erasing because it may need to run diagnostics. Prepare a Windows laptop or Surface
Windows laptop
Back up important files before using recovery or sending the laptop for service. If BitLocker is enabled, store the recovery key somewhere separate from the laptop and make sure you can retrieve it. Microsoft’s Windows recovery options page describes potential data loss and recovery-key needs; it is not a universal mail-in repair checklist.

Microsoft Surface
Microsoft’s Surface FAQ recommends backing up valuable data and then erasing data before sending a Surface to a Microsoft Service Center if the device can be turned on. - Identify the repair path: note the exact model and operating system version, the provider, and whether the device will be handled in person or shipped.
- Back up and verify: confirm the backup finished, check important files or data, and make sure you can restore it without relying on the device being repaired.
- Follow device-specific preparation: use the maker’s current instructions; consider a supported repair mode or encryption option where suitable.
- Keep removable cards and credentials under your control: remove a SIM or SD card when appropriate and permitted by service instructions. Don’t hand over account passwords or recovery keys as a routine step.
- Clarify access and erasure: ask what the technician needs to test or repair, whether data may be erased, and whether a limited-access mode is acceptable.
- Record the handoff: note the device’s condition, accessories you provide, the case number, and any agreed instructions about data or access.
You may also choose to hide sensitive lock-screen notification previews before service. Sign out of apps only if the repair process calls for it; avoid making changes that could block diagnostics without first checking with the provider.

After the device comes back
Check whether it was erased before restoring. Restore only from the backup you intend to use, and confirm that important data is present. Re-enable security or findability settings you temporarily disabled for service, and install updates when appropriate.
Why a backup matters even if you trust the repair provider
Service or recovery may erase data, and a backup is the practical safeguard against losing the only copy. A 2022 arXiv preprint abstract, No Privacy in the Electronics Repair Industry, describes a field study involving 18 service providers and rigged-device drop-offs at 16 providers, and reports privacy violations in that study. Those sample counts are not a rate for the repair industry, and the abstract alone does not establish how common such conduct is. They are not a substitute for assessing a particular provider; limiting unnecessary access and retaining control of credentials are sensible precautions.
