What When I Work does
When I Work is workforce-management software for teams that work shifts. It brings together employee scheduling, time and attendance, and team communication. The vendor describes mobile clock-ins, GPS and geofencing controls, manager timesheet review, and payroll data export or integrations. It also says any device can be turned into a time clock, which may allow a business to set up a shared tablet station; a tablet is not presented as a requirement.
Payroll is an important distinction: the product information describes payroll integrations and data export, not proof that When I Work itself runs payroll. Check that the available connection supports your payroll process rather than assuming scheduling software will calculate and pay wages.
When I Work plans and listed prices
The official pricing page displays these monthly per-user amounts and plan differences. Confirm the current price and terms on the vendor page before purchase; the displayed figures alone do not establish billing frequency or the final amount you will pay.

The fit notes are feature-based guidance, not a claim that any plan is best for a particular business. A basic scheduling setup points toward comparing Essentials first; more demanding scheduling rules and labor coordination point toward Pro; API, webhook, or SAML/SSO requirements make Premium the relevant tier to assess.
Check whether time tracking costs extra
Time tracking is the main pricing detail to resolve before comparing totals. The official pricing-page capture shows a “Time Tracking & Attendance” add-on control on plan cards, but does not make the add-on price clear. By contrast, G2’s pricing summary describes time and attendance as included in the listed plans. That difference means you should not assume either that attendance is included at no extra charge or that it is definitely a paid add-on.

Ask When I Work to confirm whether time tracking and attendance are included for your chosen plan and billing setup, and request the complete price for the users and locations you expect to schedule. Do not calculate your total from the base per-user price alone.
How to judge whether it fits your team
- Schedules and locations: Identify whether you manage one schedule or several schedules, locations, or job sites. The vendor lists multi-week and multi-location scheduling among Essentials features.
- Scheduling complexity: Templates, shift swaps, and OpenShifts may address routine coverage needs; assess Pro if your workflow depends on advanced rules, additional controls, or labor sharing.
- Timekeeping controls: Check whether mobile clock-ins, GPS, geofencing, and manager timesheet review match your attendance process—and confirm their plan and price treatment.
- Payroll handoff: Verify the specific integration or export path for your payroll provider. The product information supports a payroll handoff, not the assumption that When I Work processes payroll itself.
- Administration and security: Compare role permissions and reporting needs with the plan list. If API access, webhooks, or SAML/SSO are requirements, the vendor lists them with Premium.
Trial and billing details to verify
The pricing page offers a “Start my free trial” call to action, but the available page information does not establish the trial duration, whether a credit card is required, or all billing and contract conditions. Check the current signup flow and terms for those details instead of relying on an assumed trial length or billing arrangement. G2 also advises buyers to consult the seller for current pricing details.

What user reviews can—and cannot—tell you
G2’s page includes individual user reports describing the product as straightforward, alongside a report of friction with shift swapping. Those comments can suggest questions to try during an evaluation, but they are individual experiences rather than representative proof of performance. They are not a substitute for checking whether the scheduling and shift-change workflow suits your team.
