If your marketplace sales report does not match your GST returns, do not change a filed figure just to make the totals agree. Reconcile the same invoices and tax period across marketplace orders, source documents, GSTR-1, GSTR-3B and, where applicable, the operator’s GSTR-8 reporting. Differences commonly come from timing, returns, notes, classification, place of supply or marketplace deductions—not necessarily a missing sale.
This workflow is for Indian e-commerce sellers, bookkeepers and tax practitioners. The right correction depends on the transactions, period, filing status and any notice; it is not a tax determination for an individual seller.
Which records should you compare?
Start with source transactions rather than a marketplace payout total. Use a stable order or invoice reference to trace each sale, cancellation, return or adjustment through the records that apply to it.
- Marketplace order and transaction reports: include completed, cancelled and returned orders.
- Invoices, debit notes, credit notes and books: verify the underlying document, value, date and tax treatment.
- Marketplace settlement and fee reports: separate gross sale value, refunds and returns, marketplace charges, tax on charges, and net remittance.
- GSTR-1: check the period’s records and summary against the source documents.
- GSTR-3B: compare outward tax liability for the same period with the reconciled sales figures.
- GSTR-8 or portal-reported operator details: check these where applicable to supplies through an e-commerce operator.
For each transaction, capture the order or invoice reference, invoice date, customer GSTIN or status where relevant, destination and place of supply, taxable value, tax rate and tax amount. Keep separate fields for transaction date, reporting period, return or credit-note date, and settlement date. Those dates can differ, and combining them can make a timing difference look like a missing or duplicate sale.

CBIC’s rules compilation describes matching operator-reported details against supplier GSTR-1 using place of supply and net taxable value. CBIC’s Sectoral FAQs also state that returned supplies reduce the net value of taxable supplies used for the operator’s TCS calculation. These checks make the place-of-supply classification, returns and period cut-off particularly important. The rules source is a CBIC-hosted compilation dated 23 April 2019; check for later amendments and current portal practice before relying on its procedural details. Why marketplace sales and GST totals differ
Work through these causes in order, recording the source evidence and reason for every adjustment.
Timing and cut-off
Check whether the supply or invoice date, marketplace report period, return period and payout date fall in different periods. A settlement arriving later does not by itself show that a sale belongs in the payout period.

Cancellations, refunds and returns
Check that a cancelled order was not left in completed sales and that returned goods have been reflected through the appropriate records and return treatment. Marketplace refund totals and GST credit-note reporting are not automatically identical; trace each amount to its source document and reporting period.

Match each note’s number, date, value and tax treatment. Identify whether it relates to a sale from an earlier period and whether it was reported in the appropriate period.
Duplicates and missing transactions
Compare order IDs and invoice numbers across the marketplace export, books and return records. Look for duplicate imports, missed orders, cancelled invoices still counted as sales, and manual journal entries that lack a matching source document.

Tax classification and place of supply
Verify customer registration status, supply category, applicable rate and whether the transaction is taxable, exempt or otherwise treated differently. Do not infer tax treatment just from a marketplace label. Compare destination and place-of-supply fields with the return classification; the cited e-commerce matching rules expressly use place of supply.
Gross sales versus net payout
A marketplace remittance is not automatically the taxable value of sales. Reconcile the sale, refunds, fees, tax on fees and payout as separate items. Do not reduce reported sales merely because commission, shipping or other deductions make the cash settlement smaller. The tax treatment of a charge depends on its documentation and the facts.
Operator reporting
Inspect the GSTR-8 information or other operator-supply details available in the portal, if applicable. GSTN’s functionalities compilation for April 2023 to March 2024 describes a portal view of supplies reported by e-commerce operators, including amendments, for relevant unregistered-supplier functionality. Verify which portal view applies to your registration and period.

How to reconcile transactions in a working file
Use one row per invoice, order or credit/debit note. Reconcile transaction-level exceptions before comparing totals.
- Marketplace and order, invoice or note reference
- Document date, supply period and settlement date
- Customer GSTIN or status, when applicable
- Delivery state and place of supply
- Gross value, taxable value, rate, tax components and document total
- Refund, return or cancellation status and supporting evidence
- Marketplace fee and tax on that fee, recorded separately
- GSTR-1 table or record and GSTR-3B period or category
- GSTR-8 operator value, where applicable
- Variance, reason, proposed correction, reviewer and filing reference
Retain raw exports, filed-return acknowledgments, portal summaries, invoices, notes and operator statements. Keep a dated explanation for each adjustment. If a platform changes its report format, retain the export definitions or field mapping used for that reconciliation.

First establish what has been filed for the period and where the error sits: source sales statement, tax-liability return or operator reporting. Never add a duplicate sale just to force a portal total to match. Trace any proposed change to an invoice, note or other source record.

GSTR-1 filed, but GSTR-3B not yet filed for that period
The GST Portal’s GSTR-1 creation guide describes optional GSTR-1A as a same-period facility to add missed records or amend GSTR-1 records before filing that period’s GSTR-3B; changes are auto-populated to GSTR-3B. Confirm the current portal workflow and your eligibility for the relevant taxpayer and period.
An earlier GSTR-1 needs correction
The GST Portal guide describes amendment tables and functionality that depends on the filing period. CBIC’s Sectoral FAQs say mistakes may be corrected in subsequent returns through an amendment table, such as Table 11 of GSTR-1, and give a cutoff tied to the return for September following the financial year or filing of the annual return, whichever is earlier. Because provisions and portal functionality can change, check the current statutory cutoff and facility for the relevant financial year before making an amendment.
GSTR-3B liability differs
Reconcile the corrected outward-supply values and tax liability before deciding whether a later return, payment, amendment or other action is required. The sources cited here do not establish one correction route for every GSTR-3B scenario. If tax may have been short-paid, the period is closed or a notice has arrived, have a qualified Indian GST professional review the actual returns and records.
GSTR-8 differs from the seller’s GSTR-1
Compare place of supply and net taxable value, then identify whether the supplier’s or operator’s reported information is incorrect. The 2019 rules compilation describes discrepancy communication and correction by either party, and possible liability consequences if a discrepancy is not corrected. Verify later amendments and current portal practice before relying on those procedures.
You received DRC-01C
GSTN describes DRC-01C as addressing a specific difference between ITC available in GSTR-2B and ITC claimed in GSTR-3B. It is not a general notice for marketplace outward-sales mismatches. Review the intimation and respond through the stated portal process; do not confuse input-tax-credit reconciliation with sales reconciliation.
