Use Excel’s built-in Data from Picture feature. Copy a screenshot containing a table, choose Data > From Picture > Picture From Clipboard, review Excel’s detected cells, correct mistakes, and select Insert Data. For a saved image, choose Data > From Picture > Picture From File. The feature extracts tabular data; it does not recreate an arbitrary page, chart, or complete workbook layout.

Microsoft documents this workflow for Excel for Microsoft 365. The same feature can use a clipboard screen capture or an image file, then shows a review panel before inserting editable cells. See Microsoft’s current instructions at Insert data from picture.

What you need before converting the screenshot

  • A screenshot or image that contains a recognizable table.
  • Excel for Microsoft 365, Excel on the web, Excel for macOS, or the Excel mobile app, with controls appropriate to that platform.
  • On Windows, Windows 10 version 1903 or later or Windows 11, plus the Microsoft Edge WebView2 Runtime.
  • If your table uses non-Latin or unusual characters, check Microsoft’s supported character list before relying on the result.

Microsoft lists these supported character sets: English, Bosnian, Croatian, Czech, Danish, Dutch, Finnish, French, German, Hungarian, Italian, Norwegian, Polish, Portuguese, Romanian, Serbian, Slovak, Slovenian, Spanish, Swedish and Turkish. A language outside this list may still produce partial results, but it is not documented as supported.

Prepare a screenshot Excel can read

Crop to the table

Remove browser chrome, menus, unrelated text and blank margins. Keep the column headings and every row you want to import. Cropping reduces the chance that Excel interprets labels or interface controls as extra columns.

Use a straight, focused image

Microsoft recommends an image that is focused and viewed head-on rather than at a perspective angle. Avoid blur, glare, compression artifacts and cut-off cell borders. If the source is a photograph, retake it square to the page when possible.

Preserve context that affects values

Keep headers, minus signs, decimal separators, date labels and units in the crop. Do not crop away a heading merely to make the image smaller; you may need it to interpret the imported values correctly.

Convert a screenshot copied to the clipboard (Windows desktop)

  1. Capture the table. In Windows, use your preferred screen-capture shortcut or utility and copy the result to the clipboard. Capture only the table area if possible.
  2. Open Excel and select the worksheet cell where the upper-left imported value should go.
  3. Open the Data tab, choose From Picture, and select Picture From Clipboard.
  4. Wait while Excel analyzes the image. A preview appears with detected rows and columns.
  5. Inspect every flagged item and compare important values with the original screenshot. Correct transcription, column, decimal and date errors in the preview.
  6. Select Insert Data. Excel places the reviewed result into the worksheet as editable cells.

The review is a required part of a reliable workflow, not an indication that anything went wrong. OCR can confuse characters such as 0/O, 1/I, decimal points, commas and minus signs, especially in a small or blurry screenshot.

Convert a saved screenshot file

  1. Save or export the screenshot as an image file and crop it to the table.
  2. In Excel, select the destination cell.
  3. Choose Data > From Picture > Picture From File.
  4. Browse to the image and open it.
  5. Review Excel’s detected data, fix errors, and choose Insert Data.

Use the file workflow when the image is already stored as a PNG, JPEG or another format accepted by your Excel installation. If the command is unavailable, confirm that you are using an edition and platform that supports Data from Picture and that your Microsoft 365 installation is current.

Use a phone or tablet

Excel for iOS or Android

  1. Open Excel and start or open a workbook.
  2. Tap Insert > Data from Picture.
  3. Frame the table with the camera, or choose an existing image when your app offers that option.
  4. Crop the image so the table is straight and fills the frame.
  5. Review detected issues, correct them, and insert the data into the worksheet.

Microsoft notes that the exact controls vary by mobile platform and app version. Keep the phone steady and capture the whole table, including headings.

Microsoft 365 app

In the Microsoft 365 app, use Actions > Image to Table. Preview and review the detected result, then open it in Excel. This is a separate app flow, so its menus do not have to match the Excel mobile app exactly.

Verify and clean the imported worksheet

Check high-risk cells first

  • Numbers with decimal points or thousands separators.
  • Negative values and values enclosed in parentheses.
  • Dates, times and percentages.
  • Identifiers containing leading zeroes.
  • Symbols, currency marks and text that resembles numbers.
  • Rows that wrap or contain blank cells.

Compare totals and row counts

Count the source rows and compare them with the inserted range. Recalculate any known subtotal or total and investigate a mismatch before using the workbook for reporting. Check that each heading lines up with the intended column.

Fix formatting after the data is correct

Apply number, date and currency formats only after verifying the underlying values. Formatting a misread value can make an OCR error look plausible.

What Data from Picture can and cannot do

It is designed for table extraction

The documented purpose is to extract rows and columns from a screenshot or image and insert them as editable worksheet data. It is useful for a table displayed in a browser, a scanned table, or a photographed sheet when the image is legible.

It is not a full page or chart converter

Do not expect it to rebuild a web page’s layout, reproduce a chart as an Excel chart, preserve merged-cell design exactly, or turn arbitrary interface screenshots into a finished workbook. For those cases, you may need to recreate the layout or enter and format the data manually.

Review is always necessary

Image quality, perspective, cropping and character support affect recognition. Excel presents a correction step because the extracted result is not guaranteed to be exact.

Troubleshooting

“From Picture” is missing

Confirm that you are using an Excel edition that supports Data from Picture, then update Microsoft 365. On Windows, verify Windows 10 version 1903 or later or Windows 11 and install the Microsoft Edge WebView2 Runtime. Platform menus differ, so check the Microsoft support page for your edition.

Excel imports the browser interface as data

Recapture or crop the image so only the table remains. Include the header row but remove tabs, buttons, sidebars and surrounding page text.

Columns are shifted

Use a higher-resolution, head-on capture with visible column boundaries. In the review panel, correct the affected cells before insertion rather than trying to repair an entire column afterward.

Letters and numbers are confused

Enlarge the source, remove blur and inspect characters such as O/0, I/1, S/5, commas, decimal points and minus signs. Verify identifiers with leading zeroes manually.

Dates or decimals are wrong after insertion

Compare the inserted text with the screenshot and check the source’s regional notation. Correct the value first, then apply the intended Excel number format.

Mobile capture will not frame the table

Move farther away, hold the device parallel to the page or screen, improve lighting and crop after the entire table is visible. If the image is already saved, use the file route on a desktop installation instead.

The table is too large or complex

Process it in logical sections with repeated headings, then verify row order and totals when combining the sections. This is safer than importing a tiny, unreadable full-page image.

  • Keep the original screenshot beside Excel during review.
  • Confirm the number of columns and rows before inserting.
  • Check totals, dates, signs, decimal separators and leading zeroes.
  • Save the original image with the workbook so the source can be audited.
  • For sensitive or consequential data, have a second person check the imported range.

Frequently asked questions

Can I convert a screenshot directly into an .xlsx file?

Excel’s documented process inserts recognized table data into a worksheet. You then save the workbook in the usual Excel format; it does not promise to reproduce the screenshot’s complete visual layout.

Does the feature work with every language?

No. Microsoft documents a specific supported-character list, including English and several European languages. Characters outside that list may require manual entry and verification.

Is a PDF required?

No. The documented inputs are a clipboard screen capture or an image file. A PDF is not required for the Data from Picture workflow.
