To refund an online order, use the payment account that processed the customer’s original payment. For a manual payment such as cash, arrange the return directly with the customer. Then update the order’s fulfillment status in the store manager if needed: returning money and canceling fulfillment are separate actions.
Find the payment method and order details
Open the order in the store management area and check its payment method, status, and customer details. The order view includes payment information and the customer’s contact details.

Issue the refund through the original payment method
Online payments
Sign in to the merchant account for the processor connected to the original transaction and issue the refund there. The refund instructions cover PayPal and Stripe; the refund is handled in the relevant processor account, not by simply changing the order status in the store.
For Razorpay, initiate the refund in your Razorpay account using its refund workflow. The store dashboard may take a few minutes to reflect the updated order status after Razorpay processes the refund.

Manual or offline payments
If the customer paid manually, such as with cash, contact them using the details on the order and agree how you will return the money. The store does not automatically send back an offline payment.
Update fulfillment and keep an internal record
After initiating the refund, return to store management and cancel fulfillment if necessary. You can add the reason to Merchant Notes for internal tracking; these notes are private and do not appear in customer-facing emails or receipts. The order-management guide explains the order view and notes.

Full and partial refunds may be available depending on how the customer originally paid, so check the processor’s options rather than assuming every payment method supports both.

The cancellation workflow is for an order that is both unpaid and unfulfilled. For an order that has already been paid, issue a refund instead; canceling the order does not return the money. Cancellation is irreversible. Follow the order-cancellation instructions only when their unpaid and unfulfilled conditions apply.

Handle appointment refunds manually
Refunds for paid appointments are not automatic. Issue the refund manually, then mark the order as refunded in Store Manager. The appointment instructions describe the appointment workflow.

A checkout policy helps customers understand your terms, but it does not process a refund. To add one, go to Store management → Settings → Checkout → Checkout policies, then add a Refunds policy using a Website Builder Page or a custom link. See the checkout settings instructions.
