Short answer: Buy AI governance software only after you map the controls you actually need. “Audit logs” can mean sign-ins and administrator changes, user prompts and responses, application events, or references to files used by an AI answer. Those are different records, often searched in different consoles and sold under different licenses.
For a small business, the practical test is whether you can investigate an incident, prove that responses respected source-data permissions, control who can read compliance records, retain or delete those records, and export them to your existing eDiscovery, data-loss-prevention (DLP), or security-information-and-event-management (SIEM) process. Microsoft, OpenAI, and Google document useful but materially different controls. The evidence does not establish comparable small-business pricing or a universal “best” product, so use the buying framework below to validate your tenant, plan, geography, and data flows.
What AI governance software must let a small business answer
Start with the questions an investigator, auditor, or owner will ask after an AI-related incident:
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Who did what? Identify the user, administrator, service, application, and action.
- When and where did it happen? Capture timestamps, tenant or workspace context, and the application involved.
- What data was involved? Determine which files, sites, records, or other resources were accessed or referenced.
- What did the model receive and return? Establish whether prompts, responses, attachments, and generated content are available, and whether they require a separate content-search workflow.
- Was access legitimate? Confirm that the AI inherited the user’s permissions and that investigators themselves had permission to query the resulting logs.
- Can you preserve, delete, or export evidence? Check retention, legal hold, eDiscovery, DLP, SIEM, and export functions.
If a product cannot answer one of those questions, record the gap as a risk rather than assuming a broad “AI security” label covers it. Governance is a chain of controls; a detailed sign-in log does not compensate for missing prompt or data-access records.

Audit logs are several capabilities, not one feature
Identity and administrator activity
Basic audit coverage records authentication, account changes, role assignments, policy edits, and other administrator actions. These events help explain who enabled an AI application or changed a setting, but they may not show the conversation that followed. Ask whether administrator and user events share one search interface, use the same retention period, and can be correlated by request or session identifiers.
Application and service activity
Application logs show that an AI service, connector, plug-in, or API was used. Verify whether the record identifies the exact application, operation, tenant, and user. A generic “AI used” event is difficult to investigate when several assistants or integrations are active.
Prompts, responses, and interaction text
Conversation content is often handled separately from ordinary audit events. Microsoft’s Copilot documentation describes records of user interactions and administrator activity, while stating that interaction text is accessed through separate content-search or activity-explorer workflows. Treat “interaction recorded” and “prompt/response text searchable” as separate requirements in your evaluation.

Pick the symptom - the matching free tool is one click away.
Resources accessed or referenced
An audit record may identify files, sites, or other resources accessed during an interaction without containing the complete prompt or answer. Confirm the level of detail: resource identifiers, permission decisions, connector calls, and whether references are visible to an investigator who does not have the original user’s content permissions.
Retention, export, and correlation
Ask how long each event type remains available, whether retention can be extended, and whether records can be exported in a machine-readable format. Check for stable identifiers that let you join identity, application, resource, and conversation records in a SIEM or case-management system. “Export available” is not enough if it requires a manual screen-by-screen process.
Permission controls have two sides
Permissions applied to the AI’s source data
An assistant should not reveal a document merely because the model can technically index it. Microsoft says Copilot follows its identity and access model, which means the user’s existing permissions govern the content available to a response. Validate this behavior with test accounts: one allowed to view a document, one denied, and one with access removed after indexing. Test direct prompts, summaries, citations, and file attachments.

Do not infer that permission inheritance eliminates all risk. Overshared folders, stale group memberships, external guests, and broad service accounts can still make sensitive material available to an otherwise legitimate user. Include a source-data access review in your AI governance project.

The people who can investigate AI activity may be different from the people who can use the assistant. Require role separation for workspace owners, security investigators, compliance staff, and help-desk administrators. Confirm whether investigators can see full conversation text, metadata only, or resource references.
OpenAI’s Compliance Platform documentation describes workspace-scoped administrator keys and permissioned access to compliance data. A workspace owner or administrator grants access to supported log categories; broader compliance access and conversation-message permission are reserved to the workspace owner. This is an enterprise and education capability in the cited documentation, not proof that every small-business plan includes it. Ask the vendor to map each role in your operating model to the exact permission and API scope.
Test permission changes and revocation
During a pilot, remove a user from a group, disable the account, and revoke an administrator key. Record how quickly the change affects AI responses, log visibility, and API access. A control that works only after a long synchronization delay may require compensating procedures for leavers and urgent incidents.
Data controls to verify before purchase
Retention and deletion
Retention is usually different for audit metadata, conversation content, and source documents. Ask whether policies can be scoped by user, application, data type, or geography; whether legal holds override deletion; and whether deleted records remain in backups or exports. Obtain the default and maximum periods in writing.
Microsoft documents a 180-day retention period for enabled logs from non-Microsoft AI applications in a specific pay-as-you-go scenario. That figure is Microsoft’s current documented scope (accessed 2026), not a general standard for all Copilot records, all tenants, or other products. The same documentation distinguishes Microsoft applications from that billing treatment. Confirm whether your intended applications, tenant configuration, and billing setup fall inside the 180-day scenario.

eDiscovery and legal hold
If your business must respond to a dispute or regulatory request, determine whether AI conversations can be placed on hold, searched with ordinary business records, reviewed, and exported with an audit trail. Microsoft describes eDiscovery, retention, and deletion controls in its Purview offering, with license qualifications discussed below. OpenAI says its compliance data can connect with eDiscovery, DLP, and SIEM tools; validate the connector’s permissions, fields, rate limits, and implementation effort rather than assuming a turnkey integration.
Data-loss prevention and sensitive information
DLP controls should cover both inputs and outputs. Ask whether rules can block a user from submitting personal, payment, health, or confidential data; prevent an answer from being copied to an external destination; and alert without blocking when a lower-friction response is appropriate. Check whether the system inspects uploaded files, retrieved documents, generated text, and API traffic, because coverage may differ across channels.
Residency, encryption, and deletion assurances
Document where prompts, responses, indexes, and audit records are processed and stored for your region. Confirm encryption in transit and at rest, customer-managed-key options if required, subprocessors, backup deletion, and the process for erasing a workspace. These details are often plan- or region-specific; do not substitute a product-wide privacy statement for a tenant-level configuration review.
How the documented platforms differ
| Platform or control family | What the documentation describes | Questions a small business must validate |
|---|---|---|
| Microsoft Copilot audit and Purview | User-interaction and administrator-activity records, including when and where users interacted and references to files, sites, or other resources accessed. Interaction text is obtained through separate content-search or activity-explorer workflows. | Which Copilot edition and Purview license expose each event? Can investigators search prompts and responses, or only metadata? What are the retention, export, and regional settings? |
| Microsoft controls for other generative-AI applications | Purview protections can extend to other connected generative-AI applications. Certain non-Microsoft AI interaction logs use a documented pay-as-you-go model and, in that scenario, are retained for 180 days. | Is the application supported? Is pay-as-you-go enabled? Does the 180-day period apply to the exact log type you need? What charges result from your volume? |
| OpenAI Compliance Platform | For ChatGPT Enterprise and Edu workspaces, workspace logs and metadata can connect with eDiscovery, DLP, or SIEM tools. A workspace owner or administrator grants access with a workspace-scoped Admin key and selected log-category permissions; broader compliance and conversation-message access is reserved to the workspace owner. | Is your plan eligible? Which categories and message fields are available? How are keys rotated and audited? What roles can access exports and how are records retained? |
| Google Gemini Enterprise audit logs | Audit-log categories depend on the IAM permission type required by a method. Specified data-access and administrator-read types generate Data Access logs; administrator-write methods generate Admin Activity logs. | Which methods and access events matter to your workflow? Are the required logs enabled and stored for the needed period? What IAM roles can read or export them, and what storage charges apply? |
These descriptions are not a benchmark. Each platform uses different terminology and scopes, so compare the operational task—investigation, access review, retention, eDiscovery, or data protection—rather than counting similarly named features.
Microsoft licensing and configuration checks
Microsoft describes foundational Purview controls, including audit, retention and deletion policies, and eDiscovery, for specified A3, E3, and G3 licenses. It lists additional controls for A5, E5, and G5 licenses. The license families indicate education, enterprise, and government contexts; they do not establish that a small business has access to a particular control. Confirm your exact subscription, add-ons, tenant region, and enabled workloads with the licensing administrator.
Make a control-to-license matrix before signing a contract. For every required function—interaction audit, content search, retention, eDiscovery, DLP, alerting, and export—record the license SKU, administrator role, setup switch, and any usage-based charge. Microsoft’s documentation also describes protections that extend to other connected generative-AI applications, but support and configuration vary by application. Obtain a list of supported connectors and test one representative application.

A practical buying process for a small business
1. Inventory AI use and data
- List every assistant, API, browser extension, plug-in, and automation that can receive company information.
- For each one, record users, service accounts, connectors, source repositories, geographic regions, and whether prompts may contain personal or regulated data.
- Classify the highest-risk workflows, such as customer records, financial files, intellectual property, credentials, and HR information.
Do not limit the inventory to centrally purchased software. Include employee-created API keys and consumer accounts used for business work.
2. Write investigation scenarios
Turn vague requirements into test cases. Examples include: “An employee pasted a customer list into an assistant—show the user, timestamp, application, prompt, response, and exportable case record”; “A former contractor accessed a restricted project through an AI summary—show the source resource and permission decision”; and “A regulator requests all AI interactions for a named account during a date range—place the records on hold and export them.” A vendor that cannot demonstrate the fields and workflow for a scenario should not receive credit for a general audit claim.
3. Separate must-have controls from convenience features
- Must have: identity-linked events, administrator activity, source-resource traceability, role-based access to logs, documented retention, and an export path.
- Usually important: prompt and response search, DLP inspection, legal hold, SIEM forwarding, alerting, and API access.
- Convenience: dashboards, natural-language search, automated summaries, and prebuilt reports.
Prioritize controls according to your regulatory obligations and incident-response plan, not the visual polish of a dashboard.
4. Validate the plan and cost model
Request a written quote for the exact user count, AI applications, log volume, retention period, regions, and integrations. Ask what is included in the base subscription, what requires an add-on, and what is metered. For Microsoft’s documented non-Microsoft-AI scenario, pay-as-you-go billing and the 180-day retention detail must be assessed together; neither should be generalized to other logs. For Google, verify log storage and export charges. For OpenAI, verify workspace eligibility and administrative-key requirements.
5. Run a permission and data-leak pilot
- Create test users with deliberately different access to the same documents.
- Ask equivalent questions from each account and check for unauthorized content, citations, summaries, and suggested actions.
- Change a document’s permissions, remove a group membership, and disable a test account.
- Use the governance console to find the interactions, resource references, administrator changes, and export records.
- Attempt access to compliance data with each proposed role and confirm that denied actions are logged.
Keep screenshots or exported records as acceptance evidence. A pilot should measure search completeness and delay, not just whether an answer looks correct.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors6. Design operations before rollout
- Assign an owner for AI policy, a separate investigator role, and an approver for retention and deletion changes.
- Rotate administrator keys and service credentials on a documented schedule; revoke them during personnel changes.
- Define escalation thresholds for sensitive-data alerts and a process for preserving records.
- Review source permissions on a recurring schedule, especially shared drives, external guests, and inherited groups.
- Document how employees report a suspicious answer or accidental disclosure.

- Which events identify the human user, administrator, application, operation, timestamp, tenant, and source resource?
- Are prompts, responses, attachments, citations, and generated files recorded? If not, which separate search or compliance workflow exposes them?
- Can an investigator correlate a conversation with the files or services used to produce it?
- Does the AI enforce source-system permissions at retrieval and generation time? How are permission changes propagated?
- Who can read metadata, full conversation content, exports, and configuration history?
- What retention periods apply to each record type? Are legal holds, deletion policies, and backup erasure supported?
- Can records be exported to our eDiscovery, DLP, or SIEM tools through an API or supported connector?
- Which licenses, administrator roles, setup switches, regions, and usage charges are required?
- What happens when an account is disabled, a connector is removed, or a workspace is closed?
- Which controls are independently documented, and which are roadmap statements or optional services?
Common buying mistakes and how to avoid them
Equating a sign-in log with conversation oversight
A sign-in proves that a user accessed a service; it does not show what they asked, what the model returned, or which files informed the answer. Require separate evidence for interaction text and resource traceability.
Assuming inherited permissions mean clean source data
Permission inheritance prevents some exposures but cannot fix an overshared folder or an obsolete group. Pair AI controls with a source-repository access review and test denied accounts.
Granting investigators excessive access
Full conversation access may expose personal or privileged information. Use role-based permissions, require a case justification, and log every compliance-data query.
Recommended Free Tools
Ignoring licensing boundaries
Product names are not entitlements. Microsoft’s A3/E3/G3 and A5/E5/G5 distinctions, OpenAI’s Enterprise and Edu scope, and Google’s IAM-based log categories show why a plan-level check is essential.
Overlooking retention and metering
A short default retention or unexpected log-storage charge can make an otherwise capable system unsuitable. Document retention and billing for each event type before enabling broad logging.
Buying a dashboard without an evidence path
Dashboards help triage, but investigations require raw records, timestamps, identifiers, permissions, and export. Test a complete case from alert to preserved evidence.
When native controls are enough—and when to add a separate layer
Native governance may be sufficient when your business uses one primary productivity suite, has straightforward retention needs, and can investigate through the suite’s existing audit, content-search, eDiscovery, and DLP workflows. In that situation, reducing the number of connectors can simplify permissions and operations.
Add a separate governance or security layer when employees use multiple AI providers, need centralized correlation, require longer or immutable retention, or must send records to an existing SIEM and case system. The additional layer introduces another administrator boundary, key-management process, data transfer, and cost. Confirm that it receives complete records from each source; aggregating only sign-ins creates a false sense of coverage.
Decision checklist
- We have an inventory of AI applications, connectors, service accounts, and sensitive data flows.
- We can identify user and administrator actions with timestamps and application context.
- We know whether prompts, responses, attachments, and resource references are separately available.
- We tested that AI responses respect source-data permissions for allowed, denied, and revoked users.
- We tested who can access metadata, conversation content, exports, and configuration history.
- We mapped every required control to a license, role, region, setup step, and charge.
- We documented retention, legal hold, deletion, backup, and export behavior.
- We completed an end-to-end incident and eDiscovery pilot with representative data.
- We assigned owners for policy, investigations, key rotation, source-permission reviews, and employee reporting.
If any box remains unchecked, treat the gap as a launch condition to resolve or an explicit risk accepted by management. The most defensible purchase is the one that produces evidence for your real scenarios, enforces least privilege on both source data and compliance records, and has a cost and retention model your business can operate.
