The safest way to run a charity gaming fundraiser is to agree the beneficiary and purpose with the shelter first, then send donations through a checkout owned by the shelter or a recognized charity platform. Do not describe Twitch subscriptions, Bits or ordinary payments to your channel as charitable donations. Build a written plan, use a moderated age-appropriate stream, disclose every fee and revenue share, check local rules before adding prizes, and publish a final accounting.
1. Get the animal shelter’s agreement before announcing anything
Contact the shelter before creating a schedule, social post or donation page. A fundraiser using the shelter’s name, logo, photographs or stories is not just a personal stream with a good cause attached; it represents the organization to donors. Ask for a named contact who can approve the wording and receive the final report.
Confirm the beneficiary and the exact purpose
- Record the shelter’s full legal name and the location or program that will receive the money.
- Define what donations will fund: for example, veterinary treatment, food, transport, emergency boarding or equipment.
- Ask whether the shelter wants unrestricted support or a specific appeal.
- Agree who owns the campaign page, who can edit it and who handles donor questions.
A specific appeal can become restricted. Write a secondary purpose before launch in case you exceed the target, the item becomes unavailable or the project costs less than expected. The Charity Commission gives this model: funds raised for a scanner could instead buy other equipment for the rescue centre if the scanner cannot be purchased or money remains after the purchase. Adapt the wording to your shelter and have it approved in writing.

Ask what logo files, animal photographs, case histories and staff names you may use, where they may appear and how long permission lasts. Do not publish an animal’s medical details, adopter information or a donor list without the shelter’s approval. Decide whether the shelter or the streamer will answer requests to remove content.

Put responsibilities in writing
A short email or agreement should identify the beneficiary, purpose, fallback purpose, fundraising dates, donation route, approved promotional copy, treatment of fees, reporting duties and the process for handling complaints or suspected fraud. It should also say whether you are fundraising “in aid of” the shelter as an independent volunteer or “on behalf of” it. That distinction can affect regulatory duties.
2. Choose a donation route that sends money directly to charity
Use a checkout that identifies the shelter as the recipient. Twitch’s charitable-donation guidance says a charitable donation is made through Twitch Charity, a charitable fundraising platform such as Tiltify, or the charity’s own fundraising system. Money paid to a streamer through a normal donation, subscription or Bits and later passed on by the streamer is not treated as a charitable donation or a tax-deductible contribution.

Check eligibility, country and currency
Twitch says its Charity tool currently supports charities in the United States and donations in U.S. dollars, with participating charities required to be enrolled in good standing with PayPal Giving Fund. Availability can change, so verify the shelter’s listing and the current terms before promoting the link. If the shelter is outside the supported coverage, use its own system or a recognized platform that explicitly supports that jurisdiction.

Twitch says the Charity tool changes the channel control to “Donate to Charity,” does not take a cut of donations and provides a PayPal Giving Fund receipt. Twitch also says subscriptions and Bits support the creator, not the charity. If you decide to donate part of your creator payout, describe that as your own pledge and state when and how you will calculate it.
Compare the practical trade-offs
Before choosing, check six points with the shelter and platform: whether the shelter is listed and eligible; whether money goes directly to the charity; who issues receipts and what tax treatment applies; country and currency coverage; campaign controls, moderation and reporting; and fees, payout timing and data handling. Save screenshots or downloaded reports of the terms that applied on your campaign date.
3. Write a fundraising plan that the shelter can approve
The Charity Commission recommends a written plan covering the method, budget, target, volunteers, monitoring, secure banking and risk management. A one-page plan is enough for a small stream if it answers the operational questions below.

Set a realistic target and schedule
- Choose a start and end time, including the time zone.
- Set a target based on the agreed project cost, not on an assumed number of viewers.
- Define milestones that do not pressure people to give beyond their means.
- Allow time after the stream to reconcile receipts and send the final report.
Assign roles
- Campaign owner: maintains the page, copy and shelter contact.
- Stream host: plays the game and makes the calls to action.
- Moderator: enforces chat rules, removes abuse and handles reports.
- Finance checker: compares platform totals, receipts and any creator pledge.
- Shelter contact: confirms approved wording and the final use of funds.
For a solo event, one person may hold several roles, but do not make the host the only person who can access donation records or respond to a safety incident.

List platform fees, payment-processing deductions, advertising, prizes, shipping, accessibility services and any amount you will personally cover. If a sponsor supplies equipment or a prize instead of cash, record its value and conditions separately from donations. Never imply that the shelter will receive the gross amount if a fee or commission is deducted.
Plan record keeping
Decide where you will store the approved copy, agreements, platform reports, receipts, sponsor contracts, moderation incidents and the final transfer confirmation. Restrict access to donor information and follow the shelter’s retention and privacy policies.
4. Set up Twitch Charity or another direct checkout
When the shelter is listed in Twitch Charity
- Open the Twitch Creator Dashboard and enter the Charity tool.
- Search for the shelter’s legal name and confirm the correct organization, country and currency.
- Enter the campaign goal, dates and approved purpose. Add the fallback purpose exactly as the shelter approved it.
- Enable the channel control labeled “Donate to Charity.” Check that the visible destination is the shelter, not your personal payment account.
- Preview the campaign page on desktop and mobile. Verify the shelter name, image permissions, target, end time and donation instructions.
- Make a small test donation if the platform permits one, then confirm the receipt route and the way totals appear in the dashboard.
- Give the shelter the public link and the campaign identifier so it can monitor activity.
Do not announce the campaign until the shelter has checked the live page. Keep a copy of the page as it appeared at launch, because goals, descriptions or terms may change.
When Twitch Charity is unavailable
- Ask the shelter whether it already has an official appeal page and whether it wants that page used.
- If not, choose a recognized platform that lists the shelter. Verify the profile against the shelter’s own website or written confirmation.
- Read the current fee, payout, refund, donor-data and receipt terms before publishing.
- Check whether the platform lets the shelter receive funds directly or whether an intermediary disburses them.
- Send the shelter the draft page for approval and record the date and version of the terms.
If no suitable direct route exists, postpone the public appeal rather than collecting money into a personal account and trying to reconstruct charitable receipts later.
5. Write donation-page and on-stream language that cannot mislead
Every call to action should answer who receives money, what it funds, how to donate and what happens to excess funds. Put the same core information in the campaign page, stream description, chat command and social posts.

Minimum information to display
- The shelter’s legal name and approved purpose.
- The direct donation link and the platform used.
- Whether the platform or payment processor deducts fees.
- The fallback purpose for excess, unusable or redirected funds.
- The campaign dates, target and currency.
- A contact for accessibility, complaints or suspected fraud.
Describe creator revenue precisely
Use wording such as: “I will donate 25% of my Twitch payout attributable to this event after the platform reports the amount.” Do not say “every subscription goes to the shelter” unless you have a documented arrangement that actually does that. A subscription or Bits purchase supports the creator under Twitch’s stated treatment; it is not the same as clicking “Donate to Charity.”
Sample approved copy
“This stream raises money for [the shelter’s legal name] to fund [specific purpose]. Donate through the direct charity link below; payments there go to the charity under the platform’s terms. Platform fees, if any, are shown at checkout. If the target is exceeded or the project cannot proceed, the shelter will use remaining funds for [approved secondary purpose]. Subscriptions and Bits support this channel and are not charitable donations. I will separately donate [exact percentage or amount] of my creator payout.”
In a published page, replace the bracketed wording with the shelter-approved details; do not leave variables unresolved.
6. Design a safe, accessible and age-appropriate stream
The Fundraising Regulator describes online gaming fundraising as a live or recorded video-game stream and says related guidance can apply to other internet-streamed charitable activities. Its recommendations include checking PEGI ratings, appointing moderators, making fundraising communications clear and maintaining safety and wellbeing procedures.
Choose the game and presentation
- Check the game’s PEGI rating and whether its content fits the audience you are inviting.
- Tell viewers about strong language, violence, gambling-like mechanics or mature themes before they join.
- Use captions where available, describe important visual events, and provide a written donation page for people who cannot follow audio.
- Schedule hydration, food and screen breaks. Set a maximum stream length rather than extending indefinitely when a target is close.
Moderate chat actively
- Write rules covering harassment, hate speech, sexual content, doxxing, impersonation, pressure to donate and discussion of private animal or donor information.
- Give moderators the authority to delete messages, time out or ban accounts and end a segment if safety requires it.
- Publish a method for reporting abuse privately, not only in public chat.
- Keep a short incident log with the time, action and escalation path; do not publicly repost harmful material.
Protect donors and viewers
Never ask viewers to post card numbers, screenshots containing payment details, home addresses or emergency contact information. Treat unsolicited links and claims that someone has donated as unverified until the platform report confirms them. Do not pressure minors to donate or suggest that a donation is required to participate in a game, giveaway or chat activity.
7. Handle sponsors, affiliates and paid creators as regulated relationships
A business donating a proportion of sales, an affiliate relationship, an in-game purchase promotion or a paid creator can trigger rules for a commercial participator or professional fundraiser. The Fundraising Regulator recommends clear relationship language, due diligence and written responsibilities. The shelter’s trustees remain responsible for lawful, responsible and accountable fundraising even when another person operates the stream.

Complete due diligence
- Confirm the partner’s legal identity, payment method, reputation and ability to deliver the promised amount.
- Check whether the partner’s product, audience or advertising conflicts with the shelter’s safeguarding or ethical policies.
- Ask how sales, affiliate clicks or in-game purchases will be measured and audited.
- Confirm who handles refunds, complaints, personal data and regulatory disclosures.
Sign an agreement before promotion
State the exact amount or percentage owed to the shelter, whether it is calculated before or after tax and fees, the qualifying period, payment deadline, reporting evidence, approved claims, logo rights, termination rights and responsibility for legal compliance. Label paid promotions and affiliate links where viewers can see them, not only in a hidden page footer.

8. Check laws before adding raffles, prizes or incentives
Prize competitions, raffles, lotteries and paid-entry mechanics are regulated differently by country, state, province and territory. The Fundraising Regulator flags prize-competition rules, and Canada’s CRA notes that provincial and territorial authorities regulate gaming activities. Check the rules where the organizer and participants are located before announcing a mechanic.
Safer alternatives when rules are unclear
- Use a free-entry participation challenge with no purchase requirement.
- Offer a thank-you message or gameplay milestone that does not depend on a donation.
- Ask the shelter or a qualified local adviser to approve any raffle, draw or prize wording.
- Block participation from jurisdictions you cannot legally serve, if the platform supports reliable location controls.
Do not describe a prize entry as a charitable donation, and do not promise Gift Aid or another tax benefit unless the donation and incentive meet the applicable rules. The Fundraising Regulator specifically notes that Gift Aid treatment can be affected by qualifying incentives.

Before going live
- Confirm the donation button opens the approved direct checkout.
- Pin the purpose, fallback purpose, link and creator-revenue disclosure in chat.
- Give moderators the rules, escalation contacts and a break schedule.
- Check microphone, game capture, privacy settings, captions and backup internet or recording arrangements.
- Remove browser tabs, notifications and overlays that could expose donor or shelter information.
During the stream
- Explain the beneficiary and purpose at the opening, after major breaks and when new viewers arrive.
- Use one consistent call to action: the direct charity link. Avoid posting personal payment addresses alongside it.
- Show progress using the platform’s verified total, but explain that processing or payout timing may cause a temporary difference.
- Thank donors without revealing amounts or names they did not choose to share.
- Let moderators handle disputes, suspicious links and harassment while you continue the program or take a break.
After the stream ends
Close the campaign at the announced time, disable outdated overlays and post a message explaining when the final total will be verified. If you made a separate creator pledge, wait for the relevant payout report before calculating it, and keep that amount distinct from direct donations.
10. Reconcile, report and close out publicly
Direct donations, creator revenue and sponsor payments are different accounting streams. Reconcile each one separately instead of presenting a single rounded figure that cannot be checked.
- Export the platform’s final campaign total and donation count.
- Save receipts or payout confirmations and note any refunds, chargebacks, fees or currency conversion.
- Calculate any creator pledge using the written formula and the applicable payout statement.
- Confirm the amount the shelter received, the transfer or grant date and the payment reference.
- Ask the shelter to acknowledge receipt and confirm the project or fallback purpose.
- Publish a closeout update showing direct donations, separate creator or sponsor contributions, deductions, total sent and any variance.
- Explain remaining funds under the approved secondary purpose rather than silently changing the appeal.
- Store records under the shelter’s policy and remove public links that expose private donor information.
A concise closeout can say: “The charity checkout recorded [amount] in direct donations. Platform deductions were [amount]. My separate creator pledge was [amount]. The shelter confirmed receipt of [amount] on [date], which will fund [purpose]. Any remaining or redirected funds will follow the secondary purpose published at launch.” Use the actual figures and dates, and do not claim a receipt or tax deduction for a payment that was not made through the charity route.

11. Troubleshoot common problems
The shelter does not appear in Twitch Charity
Check the legal name, country and currency, then ask the shelter whether it is enrolled in good standing with PayPal Giving Fund. If it remains unavailable, move to the shelter’s own system or a recognized platform with a verified listing. Do not collect donations personally while waiting for eligibility.
A viewer paid the streamer instead of the charity
Thank the viewer, explain that the payment is creator revenue rather than a direct charitable donation, and document what you will do with it under your written pledge. Do not issue a charitable receipt yourself. If the viewer needs a tax-deductible donation, direct them to the approved charity checkout.
The target or project changes
Pause promotion and obtain the shelter’s written approval before changing the purpose. Use the published fallback wording for excess or unusable funds. Update every page and pinned message so old and new descriptions do not conflict.

A sponsor cannot prove the promised amount
Do not announce a final sponsor total until the contract’s reporting evidence is supplied. Ask for sales or referral records, apply the agreed calculation, and disclose any unresolved variance. Escalate to the shelter contact if payment is late or disputed.
Chat becomes unsafe
Have moderators slow or stop chat, remove abusive content, ban accounts and preserve only the incident details needed for a report. End the stream if the host, moderators or viewers cannot remain safe. A fundraising target never justifies continuing an unsafe broadcast.
12. A final launch checklist
- The shelter has approved the beneficiary, purpose, fallback purpose, images and wording.
- The donation route sends money directly to the charity and explains receipts, fees, currency and payout timing.
- The campaign page distinguishes direct donations from subscriptions, Bits, creator pledges and sponsor money.
- The written plan names the target, dates, roles, budget, records and risk controls.
- The game and stream presentation are age-appropriate, with PEGI information where relevant.
- Moderators, chat rules, private reporting and wellbeing breaks are ready.
- Paid promotions, affiliate relationships and commercial fundraising terms are labeled and documented.
- Raffles, competitions and incentives have been checked against local law, including provincial or territorial rules where applicable.
- The closeout process will reconcile totals, confirm the shelter’s receipt and publish the outcome without exposing private donor data.
Following this sequence keeps the appeal honest: viewers know where money goes, the shelter retains control of its name and purpose, and the streamer can show exactly how direct donations and personal fundraising commitments were handled.
