Create and download a Google Takeout archive that includes Gmail before you delete messages, remove the Gmail service, or delete the Google Account. Takeout creates a copy; it does not remove the original data from Google’s servers. Open and verify the downloaded archive in a safe location before taking the deletion action you intend.

The correct procedure depends on whether you are deleting selected messages, removing Gmail while keeping other Google services, or deleting the entire Google Account. Those actions have very different consequences.

First, decide what “deleting Gmail” means

People use “delete Gmail” to describe three separate actions. Choose the row that matches your plan before you export.

Intended action What changes What to do before it
Delete selected messages Only the chosen mail is removed. The Gmail service and the rest of the Google Account remain. Run Takeout first if you want an independent copy. Takeout will not perform the deletion for you.
Remove the Gmail service Your Gmail address and Gmail data are removed, while other Google services can remain. Download the archive, provide an alternate non-Gmail email address, and complete verification.
Delete the Google Account Gmail and other associated account data, such as files, calendars and photos, are deleted. You also lose access to Google services signed in through that account. Review and download every type of data you want to keep, not just Gmail.

Google Account Help describes exporting as a download operation: “If you download your Google data, it doesn’t delete it from Google’s servers.” You must complete a separate deletion step after you have confirmed the archive is usable.

  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

What to prepare before starting

  • Sign in to the Google Account that owns the Gmail data.
  • Use a computer if possible. Google says storing the archive directly on a computer is easiest in most cases.
  • Choose a destination with enough free space for one or more archive files. The final size is not established until Google creates the export.
  • Decide whether the archive will be a ZIP or TGZ file. ZIP opens on almost any computer; TGZ can require additional software on Windows.
  • Plan a second safe copy if the messages are important. An external drive is optional, not a requirement of Takeout.
  • If this is a work, school or group account, check with the administrator first. An administrator may have disabled downloads or may need to perform an organizational export.

Step-by-step: export Gmail with Google Takeout

1. Open Google Takeout

Sign in to the relevant Google Account and open Google Takeout, Google’s Download Your Data tool. Confirm the account shown in the page header before selecting anything; exporting from a different signed-in account is a common cause of an apparently empty archive.

2. Select Gmail and any other products you need

Google says products that hold data are selected by default. Leave Gmail selected, then review the rest of the product list. Deselect products you do not need, and use a product’s available subset controls when Google offers them.

If you intend to delete the entire Google Account, include every product you may need later rather than selecting Gmail alone. A Gmail-only archive does not preserve files, calendars, photos or other account data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Continue to the archive options

Proceed to the section where Takeout asks how to deliver and package the export. The exact labels and destinations displayed can vary by account and can change over time.

Setting How to choose Important qualification
Delivery destination Select one of the destinations currently offered for your account. The available destinations are account- and interface-dependent; Google’s general guidance does not guarantee a particular list.
Frequency Choose a one-time export for a deletion project. A scheduled export is available where Takeout offers it. A schedule is unnecessary if you only need a final copy before deleting now.
File type Choose ZIP for the broadest desktop compatibility, or TGZ if your tools already support it. Google notes that TGZ may require additional software on Windows.
Maximum archive size Choose a limit your storage and transfer process can handle. If the export exceeds that limit, Google splits it into multiple archives.

4. Create the export

Start the export after checking the product selection and archive settings. Google says archive creation can take from a few minutes to a few days; most people receive the download link on the same day. Do not delete messages while the export is being prepared if they must be present in the archive.

Google warns that changes made between your request and archive creation may not appear. Treat the archive as a snapshot of data available when Google processes the request, not as a live mirror of your mailbox.

  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop

  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable

5. Download every archive file

Use the download link or the destination you selected. If Google created several parts, download all of them before extracting anything. Keep the original downloaded files until you have opened the extracted data and made any second copy you need.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Open the archive and read the built-in guide

On a desktop, extract the archive and open archive_browser.html. Google uses this file to explain the formats included and how to view the exported data. Follow its guidance rather than assuming that the files will look like a normal Gmail inbox.

7. Verify the copy before deleting anything

Verification is a practical safety step. Confirm that the archive exists in the intended location, that every part downloaded, and that the files open without extraction errors. Locate representative messages, attachments and folders or labels that matter to you. If you selected another destination as well as a computer download, check that copy too.

What a Gmail Takeout export can contain

Messages, headers and attachments

Google’s Gmail export guidance lists message content, headers and attachments. The downloaded mail is not presented as a reconstructed Gmail web interface, so use the format information in archive_browser.html when choosing a viewer or mail-import tool.

Labels and IMAP keywords

Gmail labels and IMAP keywords can be included. Takeout preserves labels in an X-Gmail-Labels header in the downloaded mail file. Google notes that no mail client currently recognizes this header, although extensions could use it. As a result, a label may be present as metadata without appearing as a familiar folder in the program you use to open the messages.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Settings and account configuration

The export can include settings such as signatures, vacation responses, delegated sender addresses, other account addresses, forwarding addresses, filters and blocked addresses. Review these files separately from the messages if you may need to rebuild the account elsewhere.

  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Message categories and states

Google lists many categories whose labels can be included, including Inbox, unread, sent, starred, drafts, important, Trash, Spam, archived, muted and snoozed messages. The exact organization you see after extraction depends on the exported format and the software used to inspect it.

Encrypted messages

Encrypted messages remain encrypted in the download. An archive does not decrypt them or turn protected content into readable plain text. Make sure you retain whatever keys or access method is required to read those messages.

Work, school and group accounts

Some Gmail data from a managed account may not be available for individual download. A super administrator may need to export or migrate organizational data. If Takeout omits Gmail, shows an account restriction or fails to offer the export, contact the organization’s administrator rather than repeatedly requesting personal archives.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Important limits of the export

It does not export only a chosen date range

Google’s current help guidance says timeframe exports are not supported. Takeout therefore should not be treated as a built-in “Gmail from 2018 to 2020 only” tool. Selecting Gmail exports the data that is available for export under the account’s current settings, subject to Google’s processing and retention rules.

Already deleted data is not recovered

Takeout exports data that has not been deleted. If you remove messages before requesting the archive, those messages may not be available to include. Request the export first and wait for its download link before beginning cleanup.

The archive is not a live backup

Messages changed after you submit the request may be absent from the finished files. For a mailbox that continues receiving mail, stop making changes until the archive is ready, or make a second export after the final changes.

How to verify the archive safely

  1. Check completeness. Compare the number of downloaded archive parts with the files listed in the Takeout download page or notification.
  2. Extract a working copy. Leave the original archives untouched and extract a duplicate into a folder with sufficient free space.
  3. Open archive_browser.html. Use its format and viewing instructions to identify the mail files and related settings.
  4. Test representative content. Find a recent message, an older message, a sent message, a draft if relevant, and messages with attachments. Open the attachments rather than checking only their filenames.
  5. Check important labels or categories. Confirm that messages you expect from Inbox, Sent, Archive, Spam or custom labels are present, remembering that labels may be stored in the X-Gmail-Labels header.
  6. Make a second protected copy. Store it in another safe location with enough room. An external hard drive can provide physical separation, but no particular drive is required or endorsed by Google.
  7. Protect access. Treat the archive as sensitive mail. Use access controls or encryption appropriate to the computer and storage location, and do not leave it in a publicly shared folder.

After verification: delete selected Gmail messages

If your goal is to remove only particular messages, return to Gmail after the archive has passed your checks. Search for the messages, select the results, and choose the Delete command or trash-can icon. Review the selection carefully before confirming; a broad search can select more mail than intended.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Deleting a message in Gmail normally moves it to Trash rather than immediately removing every copy. If you later empty Trash, that is a separate, more permanent action. Takeout does not empty Trash and does not change the mailbox state.

Removing the Gmail service while keeping the Google Account

Removing Gmail is different from deleting selected messages. Google requires an alternate, non-Gmail email address and verification before the Gmail service can be removed. Use the downloaded archive to preserve mail and settings, then follow the account settings flow for removing Gmail.

Google states that, after Gmail is removed, Gmail emails and settings are deleted after 30 days. The Gmail address can no longer send or receive mail, and recovery may become impossible after some time. Other Google services can remain available because this action removes the Gmail service rather than the entire account.

For work, school or group Gmail, Google directs users to contact their administrator. A personal-account removal procedure may not apply to an organization-managed mailbox.

Deleting the entire Google Account

Deleting the Google Account has a much wider scope than removing Gmail. Google says associated Gmail data and other account data, including files, calendars and photos, are deleted, and you lose access to Google services signed in through that account.

Before choosing the account-deletion command, review the Takeout products you selected and confirm that each archive opens. If you need data from another Google product, a Gmail-only export is not sufficient. Also update services that use the account for sign-in, recovery or billing before the account disappears.

Troubleshooting common problems

The download link has not arrived

Creation can take from minutes to days, even though Google says most people receive the link the same day. Check the account’s notification and the selected delivery destination, then wait for processing to finish. If the account is managed, an administrator restriction may be the cause.

The archive is split into several files

This is expected when the export exceeds the maximum archive size you chose. Download every part and keep them together. Do not delete the smaller files after extracting one part; they collectively represent the export.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A TGZ file will not open

Google notes that TGZ may require additional software on Windows. Request ZIP instead when compatibility is more important than using TGZ, or use a trusted archive utility that supports TGZ.

There is not enough storage

Free space must cover the downloaded archives and, temporarily, the extracted copy. Move the files to a safe computer or external drive with adequate capacity, or choose a different delivery destination. Do not proceed with deletion while the only copy is incomplete.

Labels look missing

Labels may be stored as X-Gmail-Labels metadata rather than displayed as folders. Consult archive_browser.html and use a viewer that can expose the header. Google says no mail client currently recognizes that header automatically.

Some mail or settings are absent

Check whether the messages were deleted before the export was processed, whether changes were made during the waiting period, and whether the account is managed. Encrypted messages remain encrypted, and organization policies can limit what an individual can download.
