Choose a bank statement converter by testing it with statements like the ones you actually process, checking every important transaction field against the originals, and tracing exactly where the files go and how they are handled. A conversion that completes successfully can still contain missing rows, incorrect dates, or reversed debit and credit signs; a privacy slogan or unexplained accuracy percentage is not enough to establish that a tool is suitable.
What “accurate” conversion means
Bank statement conversion involves more than recognizing printed characters. A tool can read an amount correctly but attach it to the wrong transaction, put it in the wrong column, or misread whether it is a debit or credit. Accuracy therefore has several levels:
- Character accuracy: whether the software recognizes text and digits correctly.
- Field accuracy: whether dates, descriptions, amounts, and other values are assigned to the right fields.
- Transaction accuracy: whether each complete transaction is represented correctly, with the right values on the right row.
A headline percentage is hard to interpret unless the vendor explains which level it measures, how it was measured, and which statements were used. No shared, independently ground-truthed benchmark across the products covered by the available comparisons establishes a common basis for ranking their transaction accuracy, so treat vendor figures as claims to investigate—not as directly comparable results.
Test the software on representative statements
Include the file types and layouts you really receive
List the sources your workflow must handle: digital PDFs with selectable text, scanned PDFs, photographs, password-protected files, and statements from the banks and layouts you encounter. A scan requires optical character recognition (OCR), while a PDF with a text layer may be processed differently. A demonstration using one clean statement does not show that a product supports every bank, layout, or input type you need. If you have paper statements, scanning hardware may be useful to create digital images; it is unnecessary if you already download digital PDFs.

Check the converted data against the source
Keep the original files and compare the converter’s output with them, row by row or through a controlled review. Check:
- Every transaction appears once: look for both missing and duplicated rows.
- Each date and description belongs to the correct transaction.
- Amounts are accurate and debit or credit signs are placed correctly.
- Opening and closing balances, along with transaction totals, agree with the statement.
- Uncertain or malformed rows are flagged for review rather than silently guessed.
Use several representative statements, including different layouts and scanned documents if those occur in your workflow. Verify the exported results before importing them into accounting records, using them for reconciliation, or relying on them for lending or audit work. Evaluate privacy by following the data
Ask for the current privacy policy and security documentation, then get clear answers about the file’s path and handling. “Private,” “secure,” or “browser-based” does not by itself establish what happens to the document or extracted data.
- Processing location: Does conversion happen on your device, in the browser, or on the vendor’s servers?
- Data sent: Which file contents or extracted rows leave your device, and which third parties receive them?
- Retention and deletion: Are originals, temporary files, and exports retained? For how long, where, and how are they deleted?
- Human access: Can employees or support staff inspect files? Under what circumstances, and is access logged?
- Secondary use: Are documents or extracted contents used to train models, improve services, or for another purpose?
- Security controls: What access controls, encryption, incident response, and oversight of service providers apply?
For example, CleanStatements’ privacy policy describes in-memory and temporary server processing, with deletion after the conversion request. StatementForge describes browser-side conversion but also identifies networked billing components in its privacy information. These are vendor disclosures, not independent audits, and policies or product behavior can change; check the current documents and ask about any detail that matters to your organization.

Confirm the review and export workflow
Match the converter to what happens after extraction. Confirm that it supports the file types and fields you need, and that its output works with your spreadsheet, bookkeeping system, accounting import, or other destination. Then examine the review process: can you edit errors, see uncertain or failed cases, reconcile transactions, and retain an audit trail? Consider how much manual exception handling remains. A tool that speeds up extraction may still add work if its output requires extensive correction. Compare remaining options on the same criteria
Once a tool meets your essential requirements, compare any remaining candidates using the same statements and workflow. That makes differences more meaningful than comparing unrelated demos or vendor claims.

Commercial comparisons describe differences in scan support, exports, review steps, and pricing, but they do not provide a common independent accuracy benchmark. Confirm current features and prices with vendors rather than treating a comparison page as a substitute for a trial on your own statements. The FTC Safeguards Rule is relevant to covered nonbank financial institutions under FTC jurisdiction—not automatically to every person or organization using a converter, and not a universal software certification. The FTC’s small-entity compliance guide states: “The Safeguards Rule requires covered financial institutions to develop, implement, and maintain an information security program with administrative, technical, and physical safeguards designed to protect customer information.” Its guidance addresses safeguards and service providers, including access controls, encryption, multifactor authentication, and secure disposal. Whether the rule applies depends on the organization and its activities; consult appropriate legal or compliance advice for your circumstances.
